Job Title: Administrative Assistant
Location: Stamford, CT (primary); Manhattan, NY (secondary)
Hiring Manager Title: SVP, Head of Investor Relations
The candidate will provide professional, confidential administrative support to the TKO Finance organization. The candidate will report directly to the SVP, Head of Investor Relations as well as have indirect reporting responsibilities to the Chief Accounting Officer and SVP, Financial Planning & Analysis (''FP&A''). The position's responsibilities will include providing support to the Investor Relations, Accounting, Treasury and FP&A teams.
The ideal candidate will be a highly trustworthy, loyal, hardworking professional who is team-oriented, agile, proactive and intuitive. The candidate should be self-confident and energetic, with a can-do attitude and strong interpersonal skills. Key responsibilities will include, but are not limited to, the following:
Duties include:
• General office duties, including but not limited to, calendar management as well as handling incoming and outgoing correspondence
• Meeting coordination and preparation for presentations involving senior-level executives
• Actively manage conference room calendars, executive travel and time off
• Coordinate with other departments, including Executive Management, IT, Facilities, and HR, to facilitate Finance departmental needs
• Reconcile and prepare expense reports
• Assist with administrative use of the Company's expense reporting tool, Concur, including troubleshooting employee issues with corporate cards and submitting expense reports
• Provide backup administration support for Finance organization staff
• Responsible for replenishing office supplies, maintaining and organizing the office and supply closet
• Interact with colleagues and visitors in a timely and courteous manner
• Coordinate department-wide parties and events
• Ad hoc projects and other duties as required
Qualifications:
• 3+ years of experience in an administrative role in a corporate environment working directly with senior-level executives
• Strong skills in MS Outlook, Word, Excel, and PowerPoint. Prior experience with Microsoft Teams and SharePoint highly desirable.
• Responsible, reliable, and credible, with proven track record of working with confidential information
• Strong competence in project management; the ability to plan, track and drive projects to completion
• Excellent interpersonal, organization and communications skills both verbal and written
• Able to interact well with employees and business partners of all levels and backgrounds
• Self-motivated, proactivity and able to work both independently and collaboratively using good business judgement and common sense
• Detail-oriented but able to multi-task
• Flexible to be in office five days per week. Candidate's primary office location will be Stamford, CT. On occasion (ie, approximately 1-2 days / week), the candidate will be required to provide support at the Company's New York City office in Manhattan.
