Job Title: Production Coordinator
Supervisor: Executive Integrated Producer
FLSA: Non-exempt
Key Responsibilities:
• Facilitate internal/external communications as directed by Producers relating to production timelines. Monitor progress, track deadlines, and coordinate next steps on an ongoing basis to ensure the team is meeting its delivery goals.
• Oversee and assist in creation and management of production timelines, calendars, and due dates
• Participate in internal interdepartmental calls, as necessary, to provide updates on project timelines and statuses.
• Perform office administrative tasks daily
• Maintain records/files for all completed and in-progress work
• Communicate with Project Management, social media, and Account teams as required including emails or phone calls regarding asset delivery, requests for new materials and information, and attending meetings on behalf of the team when producers are unavailable
• Upload and download assets through secure file transfer systems
• Collaborate with counterparts in the production department to ensure completion and archiving of paperwork including releases, crew timecards, vendor invoices, rental agreements, insurance certifications
• Collaborate with counterparts in post-production to ensure clear communication and timely delivery of all video and audio assets and other deliverables including thumbnail images and transcription files
• Create and/or manage production requests submitted via the Wrike Project Management System. Ensure requests are accurate, follow client protocols, and adhere to advertising standards.
Job Requirements:
• Must have 1 year+ of previous experience in a creative environment - video or audio content experience preferred
• Must be energetic and proactive, someone who welcomes a challenge and is able to work in a fast-moving, quick response, demanding, flexible environment with limited day-to-day supervision.
• Resourceful, solution-oriented, and professional. This position requires the strictest confidentiality due to exposure to budgets
• Strong professional verbal and written communication skills, as well as being proactive with excellent follow-up ability.
• Must be well organized, flexible, and able to work under pressure, can-do attitude.
• Strong skill set in Microsoft Office Suite and Google web applications.
• Experience as a project coordinator/account coordinator preferred.
• Ability to learn new tasks quickly and willingness to pitch-in, as needed
