Executive Assistant (Junior Level)
Job Summary:
Administrative support includes:
Scheduling internal and external meetings
Scheduling and booking travel and accommodations for out-of-town meetings, conferences, and filming (includes domestic travel, international travel, and multi-city trips)
Managing Executive's office phone (fielding calls, making calls, and hosting conference calls)
Managing Executive's email (writing and answering emails; following up on, and keeping track of, important conversations and invites)
Note-taking during calls and meetings
Expense tracking (i.e. creating P.O.s, finding and organizing receipts, processing invoices, making sense of credit card charges, etc.)
Maintaining Executive's call list and keeping track of various ''To-Dos''
General in-office support for Executive (i.e. greeting office visitors and clients, research, calling meetings, locating personnel, technical support, printing, etc.)
Occasional personal support may include:
Booking doctor appointments
Some personal expense tracking
Coordinating home maintenance services when needed
Miscellaneous tasks as directed (might include making purchases, communicating with Executive's family, coordinating meetings or appointments for Executive's family)
Requirements:
Excellent written and oral communication skills
Strong interpersonal skills (this role will act as an intermediary between Executive and staff, clients, and other key figures)
Strong organizational skills
Flexibility adaptability to a sometimes unpredictable, constantly shifting environment
Ability to multitask and maintain a calm demeanor under pressure
Must be proactive with managing Executive's schedule
