Wildlife Design is looking for an Office Manager with experience at an interactive agency or production company to join our growing team at our Culver City office. Candidate should be able to come in and make an immediate impact, overseeing office operations, setting up and coordinating internal meetings, answering calls, coordinating permanent and freelance staff, helping to dictate office upkeep, stocking and managing the kitchen areas, and maintaining a positive first impression for clients visiting the studio.
The Responsibilities:
•Manages the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image.
•Responsible for coordinating overall administrative activities for the company.
•Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and office facilities.
•Responsible for onboarding and orientation of new freelancers and hires. Ensure they receive proper tax paperwork, employee handbook, parking arrangements, and walkthrough of office.
•Negotiates the purchase of office supplies and furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions.
•Supervises the maintenance of office equipment, including copier, scanner, etc.
•Responsible for the facilities day-to-day operations (such as distributing building access keys and back-up to security access codes, etc.)
•Participates as needed in special department projects.
•Handle planning of office celebrations, such as birthdays, going-aways, etc
•Maintaining Office Lunch Log/Totals Spreadsheet and sending out weekly lunch balance reminders to company.
•Responsible for coordination of yearly company gifting - handling purchasing, packaging, and shipping of gifts to clients.
•Handles coordination and planning of yearly company party including venue selection, arranging drinks and catering, as well as working within specified budget.
•May be needed to go on runs to other companies for pick up or drop off.

The Experience:
•At least 2 years of Office Management or Operations Management at a reputable agency or digital/design shop
•Prior use/understanding of Microsoft Office, Google Drive, or similar programs
•Production of live-action and/or experiential/live event executions means extra credit
•Interest in managing and maintaining our social media presence is a plus
