Entertainment Legal Secretary

This is a Full Time Job

We are currently seeking a full-time (37.5 hours per week), Entertainment Legal Secretary/Assistant to join our Los Angeles office (Century City). The successful candidate must be able to multi-task in a fast-paced and professional environment, be tech savvy, enjoy working as part of a team, and demonstrate a commitment to quality client service. This is an onsite position. Among other things, this position will be expected to carry out the following job duties and responsibilities for multiple attorneys:

• Maintaining attorney calendars to plan and schedule in person and online meetings, telephone conferences, meals, events, and travel
• Interact with and provide exceptional service to clients and guests
• Complete and submit various paperwork including engagement letters, conflict check forms, screening forms and new client matter paperwork
• Draft, proofread, revise and redline agreements, invoices, notices, and other written correspondence, and arrange for execution of various documents
• Maintain client files and manage executing, delivering, tracking, and filing agreements, answer phone calls and process mail
• General administration, problem solving and assistance

Requirements

• 5+ years legal and/or entertainment industry secretary (entertainment law firm secretary a plus)
• Advanced working knowledge of Microsoft Office Suite (Outlook, Word, Excel and PowerPoint)
• Familiarity with document management systems; iManage a plus
• Familiarity with DocuSign and other electronic signature systems
• Familiarity with Zoom and other similar applications
• Experience with formatting, redlining, and comparing documents
• Self-motivated, ability to work independently, and anticipate attorney needs
• Strong analytical and problem-solving skills
• Attention to detail and high level of accuracy
• Flexibility in managing multiple projects and assignments
