Executive Assistant to 2nd CEO
Must be located in Los Angeles
We are looking for a responsible Executive Assistant to help assist the CEO with their business. The ideal candidate will have experience supporting a CEO and managing different aspects of their day-to-day. Our ideal candidate must have excellent decision-making skills, take direction well and be discrete. Must also possess excellent interpersonal skills, take initiative, and be extremely organized. It will be your responsibility to make sure that everything runs smoothly. You will be expected to work flexible ''office hours'' with an expectation of being available after standard hours if needed.
SKILLS & QUALIFICATIONS:
Strong Interpersonal Skills
Tech-Savvy and experience with word processing and g-suite
Active Listening and good communication skills
Proactive approach to problem solving
Strong sense of urgency
Strong attention to detail
Ability to Multitask
Great Time Management and organizational skills
Good Project Management skills
RESPONSIBILITIES
Act as a right hand for the CEO and at times act as the first point of contact / a gatekeeper
Help with employers daily time management
Must handle all day-to-day tasks including business errands
Must manage calendar & appointment scheduling
Drive to and from multiple locations to run errands as requested (must own a car)
Communicate professionally via email, phone, and in-person
Ability to organize high-volume inboxes
Help with all day-to-day office operations / serve as an office manager as needed
Take dictation and notes
Coordinate business travel needs
Track and submit monthly expense reports against the allocated budget
Manage and execute ranging ad-hoc projects
REQUIREMENTS
Proven work experience as a Personal & Executive Assistant is MUST.
Independent and can project plan
Creative and intuitive thinking and problem solving
Knowledge of office management systems and procedures
MS Office and English proficiency
Outstanding organizational and time management skills
Good listener, positive attitude, takes initiative and extremely organized
Must remain calm under pressure
Computer savviness and the ability to troubleshoot technical needs
Ability to keep personal affairs private and confidential
Valid driver's license with clean driving record
