Location: Leavesden, Hertfordshire, United Kingdom
Your New Role...
In this position, you will provide support to the Office Manager in the running of the office and administration of the Studio Tour. Your aim will be to ensure that the office and reception runs efficiently whilst always delivering the highest level of customer service.
Your Role Accountabilities...
• Take responsibility all aspects of office administration, including collecting post, ensuring office/Tour are fully supplied and cupboards stocked, ensure that meeting rooms & hot desks are ready for use by the next booking
• Work in partnership with the facilities team to ensure that office systems (recycling/photocopiers/Tour water cooler maintenance/ milk orders etc.) are maintained and issues/out of stock instances are reported with replacements ordered to ensure a tidy and productive work environment
• Take responsibility for ensuring documents/trackers are updated weekly (example – Weekly Movement Chart, VIP Calendar, Tour Overview Calendar, creation of templates etc.) and collating accurate figures and spreadsheets for internal and external reporting.
• Provide cover for other members of the team such as the Office Manager; provide EA support to the EVP and SVP including diary management, travel arrangements and expense processing via Concur, as well as covering the reception desk for breaks and lunch (also sick leave and holidays).
• Assist the Office Manager with managing vendor contracts, dealing with VIP tour booking requests, coordinating the Tour Work Experience programme, administering H&S policies and training within the office.
• Assist the Office Manager with ad-hoc projects, such as the set up and running of staff meetings including creation of presentations, collating attendance lists, ordering refreshments and taking minutes.
• Partner with departments across tour across a range of tasks including coordinating staff screenings and assisting with Staff Events, creating posters and presentations.
Qualifications
& Experience….
• Proven experience of working in as an administrator, PA or Office Manager
• Experience of working within the leisure industry in either an attraction, museum or heritage site would be advantageous.
• Knowledge of Microsoft Office packages, including developing Powerpoint Presentations, excel/word templates, Outlook, excel spreadsheets (with formulas and formatting), documents.
• Demonstrable experience of working in a highly customer focused and fast paced business.
• Good communication, numeracy and literacy skills.
