Job Title: Coordinator, Creative Services
A little bit about our team:
Creative Services is responsible for the creation of music videos, still photo shoots and graphic artwork for all Warner Records releases.
Your role:
In this role you will have the opportunity of working closely with the Creative Services department's music video division, doing all the administrative due diligence, keeping track of invoices, video budgets, expenses, travel etc.
Here you'll get to:
• Provide overall support to the Creative Services department
• Generate and route contract agreements (Music Video)
• Help to set up photo shoots (Art Department)
• Process and manage a high volume of vendor set-ups
• Interact with Production vendors & Accounts Payable to get vendors promptly set up in our system for payment via ACH or Wire
• Fill out and submit SAG-AFTRA reports for applicable budget tier projects
• Fulfill general office duties – including but not limited to, ordering supplies, taking messages, arranging meetings, setting up conference calls, booking conference rooms and distributing mail (as needed)
• Book artist travel and send all direct bill hotel letters and follow up for hotel folios (as needed)
• Monitor the clearance process, proactively flagging scheduling and other issues and ensure compliance with all DSPs
• Collaborate with broadcast representatives and marketing to facilitate the creation of clean videos for television through coordination with the production team
• Manage the submission and coding of commissioner's expense reports within Concur, ensuring accuracy and compliance
• Safeguard access to Preamp (internal audio delivery system) maintaining security and discretion when sharing audio files with authorized personnel
• Serve as the department's technical liaison, facilitating communication and troubleshooting technical matters to enhance departmental efficiency
• Oversee and manage ingestion projects for art and video
About you:
• Ability to assess processes and provide assistance and support where needed
• Seek assets and elements for editorial projects (in-house & outsourced)
• Work alongside your teammates to manage the administrative side of production for all projects
• Have a solid understanding of the SAP system
• Handle confidential matters appropriately and with discretion
• Have excellent verbal, written, and interpersonal communication skills
• Able to prioritize multiple projects and remain detailed oriented
• Ability to pinpoint problems and identify solutions
• Professionally collaborate with all levels of the organization, clients and vendors
We'd love it if you also had:
• 1-2 Years of experience in a similar role or equivalent experience
• Drive to learn and grow within the music industry

Effective October 1st, 2023 this position requires being in the office 4 days a week. We believe that an in-office presence is critical for talent development, collaboration and building strong relationships.
Salary Range
$17.95 to $24.00 hourly
Salary ranges are included for job postings where required by law. The actual base pay is dependent upon many factors, such as work experience and business needs. The pay range is subject to change at any time dependent on a variety of internal and external factors.
