Job Description:
Department Description
The International department works every act on Warner Bros. Records outside of the United States. That includes marketing, promotion, publicity and communication. They communicate with artists, managers, the domestic label and all international territories in order to build up artists careers globally.
Detailed Job Description/ Responsibilities:
• Able to handle several phone lines, connect conference calls, interviews...
• Discreet with information such as artists' personal contact info
• Able to multi-task, filing, scheduling,
• Learn to use Oracle (Ariba and SAP) to open POs, process invoices, update vendors' info, etc.
• Open POs in Oracle, keep tracks of budgets, keep track of expenses via Concur
• Interact with management, media, and external partners
• Direct inquiries to appropriate contacts
• Order and ship watermarked CDs / streams to internal and externals partners.
• Book and coordinate travel (air and ground) for large travel parties
• Create and update artists daily promo and/or touring schedule
• Office manager's duty (ordering supply, call facility for various repair requests)
• Order from PMDJ
• Responsible to turn in timesheets to Payroll before deadline
• Able to use various programs including shipping/tracking/messenger systems
• Manage various calendars and schedules for the department
• Able to maintain weekly reports tracking consumption, worldwide sales, etc.
• Other assignments as assigned.
Required Competencies/Skills:
• Extensive knowledge of Word, Excel, PowerPoint, Microsoft Outlook
• Heavy phones
• Excellent interpersonal skills; a high level of professionalism and the ability to work under pressure during strict deadlines.
• A passion for music
• A second language, conversational, (Spanish, French, German, Japanese, etc) is a plus.
Experience
• 2 years assistant level experience in the Entertainment Industry preferred – music industry highly preferred.
