Executive Assistant II, New Line Legal Affairs
New Line Productions, Inc. seeks an Executive Assistant II for the Theatrical Legal department. Under direct supervision, position performs various administrative and clerical duties for a Senior Vice President and a Vice President. Additional responsibilities include:
Saves agreements to PC Docs (our document management system), corrects formatting, creates redlines and prepares for distribution.
Drafts correspondence, e-mails, edits contracts, etc. for supervisors' review & signature.
Handles and prioritizes heavy telephones and screens, places calls, & responds to inquiries as directed.
Makes photocopies and scans of reports, documents, & other materials. Prints and labels supervisors sent and incoming emails for filing; files/coordinates filing with the file clerk.
Arranges calendar, schedules meetings, lunches, travel, expense reports, independently or as directed.
Tracks Above-the-Line payments and gathers tax paperwork. Prepares pay memos.
What do we require from you?
College diploma or equivalent required.
Minimum 2-3 years of work experience at an agency or legal and business affairs experience preferred.
Previous entertainment industry preferred.
Must have ability to multi-task and function calmly under pressure to meet tight deadlines.
Must be able to communicate directly and effectively with two attorneys in order to prioritize and juggle multiple projects at the same time.
Must be able to take initiative in supporting supervisors, anticipating needs & deadlines, and assisting with special projects.
Must be very computer savvy and able to troubleshoot computer issues/ facilitate with offsite MIS.
Must have proficiency with the general Microsoft Computer software layout and functions, MS Word, Excel, & Outlook.
