SUMMARY OF POSITION
Warner Bros. Entertainment Inc. seeks a Coordinator, Human Resources for the HR Distribution department. The department is responsible for the overall Human Resources function for multiple business units.
JOB RESPONSIBILITIES
• Supports the VP with phones, scheduling appointments and maintaining calendars.
• Supports the department with travel arrangements, submitting expense reporting, drive-on passes, messenger services, overnight mail, ordering supplies for the department, greeting guests, scanning, filing and archiving.
• Responsible for the Purchasing Card for the department and all associated reconciling.
• Serves as the main point of intake for employee inquiries. Provides answers or connects employees to the appropriate team member. Advises employees on how to navigate company processes to accomplish tasks by guiding them to the appropriate channels such as employeeConnection or the WB Help Desk. Looks into special requests and works with division partners in other functions (e.g. IT, T&E, Real Estate, etc.) to drive resolution.
• Facilitates employee communication programs (e.g. Town Hall meetings, bi-monthly lunch with WBIE President, etc.) and division-specific employee communications (e.g. broadcast emails, division-specific intranet, etc.). Maintains email distribution lists for use in all internal division communications. Compiles a monthly recruitment newsletter for WBIE and WBG Studios.
• Manages temp process and usage. Works with management to get President/EVP level approval on additional temps through Randstad, WB payroll or outside agencies. Gathers basic job description and experience/ requirements from managers and fills out appropriate temp request form(s). Liaises with Randstad to provide feedback/direction on specialty agencies to use. Approves Randstad replacement temps requests, tracks temp costs and utilization, and provides justifications, extensions and confirmations of end dates for approved temps. When additional temps are requested (e.g. LOA, sick/vacation coverage, etc.) works with management and division assistants to see if alternate coverage can be accommodated without a temp. Provides reporting on temps, consultants, freelance staff, production employees and independent contractors.
• Manages employee morale programs including special events, new-hire welcome gifts, recognition program, etc. Handles all planning, logistics, procurement, payment, tracking and reporting.
• Responsible for tracking, filing and sending out reminders for employees with personal service contracts.
• Administers the Amex Corporate Credit Card program. Reviews all applications for requests, inputs data into Amex online system to process card request, reviews and handles inquiries for limit increases, lost/stolen cards, etc. Follows up with employees on delinquent payments.
• Reviews all BizInk stationary requests and obtains necessary justifications prior to approving.
• Works across game studio HR groups to coordinate and roll-up information to respond to Corp requests and regular processes (e.g. People on the Move, Compliance, etc.)
• Manages employee experience database. Calculates relevant experience, inputs info into database, ensures resumes are saved to drive. Compiles information from WBG development studios.
• Creates, compiles and distributes monthly Recruitment Newsletter across WBIE and all studios, highlighting new-hires, hot jobs and employee-targeted tips for helping to source and attract talent.
• Coordinates executive and employee onboarding with other departments. Schedules employees for orientation (contingent workforce benefits). Handles all onboarding paperwork for all interns and off cycle (i.e. non-Monday) starters. Provides timekeeping training for all non-exempt employees. For executives, handles all requests for computer, phones, mobile devices, email accounts, office space, parking, building access, calling card, Amex, etc.
• Performs other duties as assigned.
JOB REQUIREMENTS
• Bachelor's Degree preferred.
• At least 1 year professional work experience required.
• Prior experience in Human Resources preferred.
• Must have strong organizational skills.
• Strong computer skills required, including Excel, Word, and Powerpoint.
• Experience with personnel and payroll data systems (e.g. Workday) is desirable.
• Strong verbal and written communication skills required.
• Strong diplomacy and adaptability attributes to deal effectively with senior executives.
• Must possess strong logic and reasoning skills.
• Must have the ability to plan for, track, prioritize and execute multiple recurring and ad hoc tasks.
• Strong analytical skills with extreme attention to detail.
• Must have the ability to work well under time constraints.
• Must have the ability to handle and maintain confidential information.
• Must be able to work in a fast pace environment.
• Must have the ability to take own initiative and work independently.
