The Executive Assistant provides high-level, strategic administrative support to the Chairperson & CEO of Warner Bros. Film Group. This is a highly visible, mission-critical role requiring exceptional judgment, discretion, and organizational excellence. The ideal candidate is a seasoned career Executive Assistant who operates as a trusted partner and gatekeeper, anticipates needs, manages complexity with calm authority, and represents the Office of the Chairperson & CEO with the utmost professionalism.
Your Role Responsibilities
• Represents the office of the Chairperson and CEO with discretion and professionalism.
• Own and proactively manage a complex, high level executive calendar, including scheduling and prioritizing internal and external meetings, identifying conflicts, anticipating needs, and recommending solutions.
• Coordinate all domestic and international travel logistics, including flights, accommodations, itineraries, and last-minute changes.
• Act as a strategic gatekeeper, prioritizing requests, tracking commitments, and ensuring follow-through on executive obligations.
• Prepare, review, and organize briefing materials, agendas, talking points, memos, and correspondence in advance of meetings.
• Interface regularly with senior executives, filmmakers, talent, agents, and key stakeholders across the Warner Bros. Film Group and external partners.
• Manage incoming communications (email, phone, mail) and respond or handle appropriately.
• Coordinate gifts, special shipments, and high-touch outreach as directed.
• Create and maintain reports, schedules, tracking tools, and matrices to support executive priorities.
• Process expense reports accurately and on time.
• Support special projects, presentations, and initiatives as assigned.
• Order office supplies and manage administrative logistics as needed.
• Remain flexible and available to provide support during evenings and weekends, as business needs require.
Qualifications & Experience
• Minimum of 5+ years providing administrative support to a senior-level executive (C-suite or equivalent).
• Previous entertainment industry assistant experience required.
• Demonstrated experience supporting high-profile executives in fast-paced, high-pressure environments
