The Operations Coordinator manages day-to-day operations for the company, performing a range of self-directed and confidential operational and administrative duties to support the company and its projects. This role is responsible for tracking internal and project progress and tasks, as well as, conducting general administrative and organizational tasks.
The Operations Coordinator is in charge of communicating with internal and external contacts, including team members, partners, and clients via email, newsletters, and other channels. They are also responsible for managing the Production Intern (with the Head of Production).
This role will start out part time with the goal of moving to full time.
Responsibilities Include:
- Coordinate scheduling for internal leadership
- Both directly and via Clara management
- Draft, track and manage the execution of contracts, agreements, deal memos, onboarding paperwork, etc
In coordination with Accounting, track the drafting and processing of invoices for projects
- Manage Google Drive file system for the company including but not limited to:
- Project folders
- Research folders
- Accounting folders
- Develop and archive informational one-pagers as needs arise
- Maintains updated and historic document versions for all briefs, one-pagers and decks.
- Work with Copywriter to develop and disseminate weekly mailers and Slack postings
- Work with Grants + Development Copywriter to manage our grants calendar and ensure that Copywriter + Grants Manager are on top of
deadlines and opportunities
- Track festival and awards entry deadlines and deliverables; liaison with internal leadership to ensure all needs are met in a timely manner
- Manage CRM side of monday.com to ensure our contacts (clients, creatives and partners) are up to date
- Keep track of company subscriptions costs, account log-ins and other vital account information
- Act as main point of contact for bank representatives, legal counsel and other key company contacts
- Manage interns to assist with research and production tasks
QUALIFICATIONS
Candidates must have a B.A. from an accredited college or university. As well as meet the following requirements/qualifications:
- Be exceptionally detail-oriented and organized
- Write and conduct themselves professionally
- Be able to work on multiple projects in a fast-paced environment
- Be comfortable in a collaborative work environment
- Be able to work independently and as part of a team, to take direction, to receive feedback, and to execute tasks accordingly is incredibly important.
- Have extensive knowledge of Google Drive, and Excel/ Spreadsheets.
- At least 1-3 years of experience with filing and organization, scheduling, producing and project management.
This role is ideal for individuals interested in small business operations within both the impact/social justice space and the entertainment/ad space.
Ideal candidates are interested in moving up with the company on the operations track and would be potentially interested in a COO role down the line.
