Summary
We are looking for an office assistant/receptionist to join our VSI Los Angeles Office.He/she will be responsible for maintaining a first class, professional, front-of-house service to clients, visitors and staff, as well as managing the smooth and efficient running of reception processes.
You will report to the VSI Los Angeles' Head of Operations.
This will be a full-time position with regular office hours Monday to Friday; 9am to 6pm.
Key responsibilities
Answering and directing telephone calls and general query emails in a professional manner.
Communicating information and updates to relevant departments.
Meeting and greeting clients, visitors and staff politely and professionally.
Sorting and distributing incoming and outgoing mail, deliveries and shipments.
Schedule actors for recording sessions assisting Dubbing directors with time sheets and payroll process.
Monitoring and ordering office supplies, VSI-branded items, groceries and postal supplies.
Maintaining cleanliness of common areas, making sure fridge, bathroom, and snacks are stocked, and assisting with lunch orders
Recording sickness, annual leave and staff absence.
Processing supplier and client invoices (data entry and scanning).
Assisting with in-house events, meetings, and client gatherings.
Assisting Head of Operations with recruitment when required.
General office duties: printing, scanning, photocopying, filing…
On board new employees including managing health insurance and 401K, and company orientation.
Any other administrative or generic duties as required.
Skills and Experience
Bachelor's degree required.
Excellent organization and communication skills.
Strong customer service skills.
Ability to multitask and prioritize work.
Ability to work both alone and as part of a team.
Ability to work under pressure and meet deadlines.
High standard of written and spoken English.
Literate in a variety of MS packages, including Excel, Word and Outlook. Google drive, Google doc and sheets, Smartsheets, Microsoft Office
Receptionist experience would be advantageous.
Bookkeeping and Quickbooks knowledge desired.
