This is a Full Time Job
We’re looking for an Event Producer to lead, plan, and organize events that bring VIBE’s cultural programming to life, curating a calendar of live experiences, and cultural moments that amplify our voice and relevance across the industry. This is a highly collaborative role, working across the content teams as well as sales and marketing.
As PMC values in-person collaboration and team cohesion, employees work onsite 4 days a week and 1 day remotely with a focus on maintaining a vibrant and inclusive culture.
Responsibilities will include:
• Work closely with the Sales team to build out custom budgets for events included in pitches
• Build, manage and recommend both internal and client facing timelines per event
• Research and help identify venue options for various events, collaborating with Production & Events team and the Events Director on securing final selection
• Work with marketing and manage a detailed timeline for event execution from iteration to load in and load out and act as a point person at events, working closely with sponsors, clients, agencies, venue teams and the VIBE events team
• Secure, recommend and bid out vendors for each event. This includes but is not limited to: Fabricators, Staff, Production Vendors, Food and Beverage vendors
• Create invite and e-blast lists and track/manage RSVP’s
• Manage and track all expenses and payments for events
• Sponsorship activation execution
• Manage and execute both internal and external facing budgets for client
• Work with Creative team to develop website and event collateral
• Process fully executed contracts in Salesforce, request invoice and send to sponsor for payment
• Work with Sales team to prepare event recap for sponsors
• Travel is required for events per direction from VP of Events
We are seeking:
• 4 years’ experience producing events
• Experience producing sponsorship moments and brand integrations around live music
• Understanding of, and experience in producing, bespoke branded events
• Client & Sponsor management skills including weekly status updates, brand approval processes, and meeting or exceeding client expectations and performance KPIs
• Ability to collaborate with sales & marketing teams on pitches and creative ideation for brand moments
• Knowledge of brand activation tactics, tools and strategies to deliver success against client deliverables
• Forward thinking, self-starter who consistently elevates VIBE event operations
• Intricate knowledge of both venue and band production and backline
• Relationships with production vendors, lighting vendors, backline vendors and staffing companies
• Ability to procure multiple bids and negotiate
• Knowledge of both artist and venue insurance requirements
• Knowledge of contract requirements and contractual steps needed per event
• Historical relationships with agencies and managers
• Knowledge of artist pricing by market
• Detailed knowledge of all talent agencies and contacts per market at each agency
• Ability to travel to events, potentially multiple per month
• Intricate knowledge of load in and load out processes
• Extremely organized and detail oriented
• Team player
• Several years’ experience building budget formats for different sized events at different scales
• Intricate knowledge of excel, PowerPoint, Canva, Google sheets, Concur and other budgeting tools
• Ability to stay focused and organized when multiple projects are happening at the same time
