JOB TITLE: TAM Assistant
Department/Region: International Talent & Music

JOB SUMMARY
• Provide day to day assistance and support to the VP Talent and Music International
• Administer TAM international payments on SAP / MARKET System
• Dealing with all the regular department administration and communication
• Provide support and assistance to the wider TAM International team
KEY RESPONSIBILITIES
• Assistant to VP
• Assist the VP Talent and Music International with diary management and as otherwise instructed
TEAM ADMINISTRATION
• Arrange department briefings and internal/external meetings, compiling and distributing weekly minutes for International TAM staff meeting
• Oversee travel bookings for team, ensuring T&E policy is adhered to at all times and that we are getting the best prices from CWT (our travel company)
• Track department’s holiday and sick leave and ensure team is aware of booked absences
• Liaise with Technology Services and Office Services on behalf of the department to fulfil any team requirements
• Be responsible for all administration duties for the team
• Ensure the TAM contacts are up to date and stationary requirements are fulfilled
• Collate International music performance data – weekly charts and video play report
FINANCE:
• Facilitate the payment of all team invoices via the SAP system that are generated by TAM International
OTHER:
• Cover essential and urgent elements if needed of ongoing label/artist projects as required when team members are out of the office due to holidays, illness and business / event travel
• Cover interviews and events as required if needed
• Assist with the collation of annual Video Play Awards results
• Assist with the weekly TAM International newsletter to the music industry, using photoshop and graphic packages effectively
• Actively integrate with the music industry by attending gigs and show cases
• Have an up to date knowledge of the digital music landscape – facebook, twiiter, Instagram and key music blogs etc.
• Draft PowerPoint and graphics-led presentations on behalf of the department as required
ROLE-SPECIFIC SKILLS/ATTRIBUTES
• Experience in a similar support role
• Experience with top end executives
• Genuine interest in an assistant role in the medium term
• Advanced Microsoft Office skills (most importantly expert Excel, PowerPoint & Photoshop skills)
• Genuine interest and knowledge of the music and media business
• Strong organisational and literacy skills, admin duties including filing, travel & schedule organising
• Effective and confident communication skills
• Ability to work well under pressure to achieve deadlines
• Problem solving skills & common sense crucial
• Initiative, diplomacy, confidentiality, discretion
• Previous International experience/outlook an advantage; understanding time zones, cultures
• Working knowledge of finance operations, processes and terms
