JOB SUMMARY
This position is a Coordinator level position focused on content delivery, please note this is not a production based job.
Working in a close team covering MTV/Comedy Central, UK/International, In-house and Commissioned content; the Coordinator is required to support commissioning and Deliveries which involves but not limited to;
delivery and post production schedules, liaising with departments acceptance of music/compliance/legal/music/paperwork, technical deliverables and production workflows; as well as managing the vendor set up, purchase orders, payments and cost managers; Providing logistical support for the team and when required booking required crew, post and travel.
The Coordinator will be required to support the Production Managers in facilitating the internal and external Viacom processes that are required to be followed when producing and developing content. This position will be the conduit for internal departments and external companies on production processes and practices when working with VIMN, and to help with resolution when troubleshooting content delivery.
Though practical experience within Production would be of use, this job will suit someone from a Booking or Operational background.
KEY RESPONSIBILITIES
• To set up systems, workflows and databases where necessary and ensure that they are regularly updated.
• To regularly update and maintain internal trackers, checklists, budgets and Cost Manager.
• Facilitate the quick and complete set up of new vendors/suppliers using VIMN policies
• Working with Accounts Payable, ensure that both internal & external suppliers are paid correctly & promptly.
• To maintain a working knowledge of SAP/Market and to help queries from other departments when necessary
• To ensure that all deliverable requirements are completed for production (release forms, cue sheets, etc)
• To assist Team in all internal production set up required (Comm spec, Health & Safety checks, Financial checks, P/O raised, Insurance documentation etc)
• To liaise and coordinate information between External and Internal teams relating to delivery and production schedules
• Follow Viacom procedures in hiring freelancers (production RAFs, HR sign off’s)
• Collate freelance invoices and ensure they are paid on the next available freelance invoice run
• Ensure Production adheres to VIMN guidelines on all Travel and T&E policies and any other internal business procedures
• When required maintain production cost managers, including inputting all costs spent, running monthly actuals reports to collate against predicted spends, and reporting any concerns to Production Manager as soon as possible.
• Assisting in Team management presentations, in the creation of required documentation.
• When required, to work alongside Production Manager to assist in in-house productions [drafting call sheet, risk assessments, booking crew and freelancers/post facilities/studios/equipment]
