Overview and Responsibilities
The Business and Legal Affairs department handles development and production work for unscripted programming, news programming, tent-poles and works closely with the networks’ Development and Production Management teams, as well as many other departments (including Programming, Talent, Publicity, Music & Media Licensing, Labor & Employment, Risk Management, Pre-Broadcast Content Review, Intellectual Property & Litigation and Accounting/Finance).
Responsibilities:
The Legal Assistant is responsible for drafting standard letters, amendments, and agreements at the request of, and on behalf of, Supervisors, answering phones, distributions, mailing, maintaining files, and faxing correspondence. Assistant must input, revise, proofread, and redline documents, as well as handle distribution of agreements. Assistant must maintain status reports for show specific productions and project updates for Supervisors on overall department charts and must maintain a highly organized, efficient, and logical filing system of all documents for working and archival purposes. Assistant must schedule and book conference rooms for staff meetings, keep and maintain departmental lists, calendars, and contacts. Assistant must screen incoming calls for Supervisors with a positive attitude and high degree of professionalism and notify phone calls received by Supervisors via interoffice instant message or e-mail. Assistant will also be responsible for placing calls for Supervisors, and arranging and placing multi-party conference calls. Assistant must prepare travel and expenditure reports for the Supervisors, order supplies, prioritize the Supervisors’ daily schedule by coordinating appointments and scheduling meetings among parties with demanding calendars.
Basic Qualifications
• Minimum 1-2 years’ experience as an assistant, preferably in the music, television, or entertainment industry
• Typing required
Additional Qualifications
• Undergraduate degree preferred
• Legal experience desirable but not mandatory
• Advanced knowledge of Microsoft Outlook and Microsoft Word for Windows, utilizing DM5 (edocs) and Excel
• Knowledge of television production very advantageous
• Very punctual
• Excellent organizational skills with an ability to prioritize work
• High degree of attention to detail
• Ability to concentrate and be focused
• Ability to maintain a positive attitude
• Professional demeanor and phone skills
• Ability to exercise flexibility with workload
