ViacomCBS is looking for an Executive Assistant to be a part of our Music & Celebrity Talent team in NYC! The primary role of this position is to provide administrative support to the SVP of Celebrity Talent and the VP of Music Talent. In addition to general admin responsibilities, the Executive Assistant will have the opportunity to contribute to the creative process and, in some instances, provide on the ground support at shoots and tentpole events. A candidate for this position should have a strong interest in music, film, TV, and pop culture. Due to Covid-19 policy, this position will initially be remote it will eventually transition to a hybrid (remote & in-office) position.
Responsibilities:
• Support SVP of Celebrity talent & VP of Music talent with general administrative support. Scheduling meetings; answering and screening telephone call; coordinating internal and external meetings; processing T&E reports; ordering supplies and arranging office services; coordinating travel arrangements; and performing administrative errands
• Establish, maintain, and organize department files (calendars, distribution lists, album release schedule, etc)
• Assist in the creation of creative decks
• Collaborate with the team to brainstorm music & celebrity talent for upcoming projects and events across the Music & Entertainment Group and Paramount
• Support music & celeb talent team on- and off- site for tentpoles, events, series, and other shoots
• Act as onsite liaison for specific assigned talent at various events
• Help to track all pertinent documents for tentpole & series including deal memos, nominee invitations, talent tracker, etc
Basic Qualifications:
• Bachelor’s Degree
• 1-2 years of experience working in television/media (strong internship experience considered)
Additional Qualifications:
• Highly proficient in MS Office (Excel, PowerPoint, Word, Outlook)
• Excellent written and verbal communication skills
• Exceptional organizational skills with ability to multitask, properly prioritize, meet deadlines, and be agreeable to changes
• Highly motivated resourceful self-starter with excellent follow-through skills
• Ability to maintain composure in high stress productions and events
• Maintain a professional demeanor with both talent, their representatives, and executives
• Must have the ability to work flexible hours due to production schedules/events including weekends and evenings when necessary
• Ability to anticipate and properly resolve administrative issues/problems without relying on senior executives input or direction, understanding when senior executive input/directions is appropriate and/or required
