Overview and Responsibilities
The Director, Facilities Operations is responsible for daily management and supervision of the facility maintenance and building infrastructure operations for the ViacomCBS Cloud Computing Center (CCC) located in Hauppauge, NY.
This location is a critical 24/7 facility that will be the central location for ViacomCBS broadcast and Data center operations. Coordinates, plans, implements, and evaluates facilities activities. Includes but is not limited to space management, budget planning, upkeep of space, maintaining building systems and equipment, construction projects, and supervising building services. Work is performed independently with general supervision by the Senior Vice president of CORE Services.
Responsibilities
• Lead and supervise the maintenance staff and vendors that support the employee population at this 24/7 location. Develop and oversee preventative maintenance vendors, implement procedures, policies, and frequencies.
• Provide oversight and coordination of work performed by facilities maintenance technicians and vendors. Ensure adherence to ViacomCBS facilities policies and procedures. Meet with facilities maintenance personnel daily to identify upcoming events, projects, and review issues. Review daily walk through sheets of all critical building equipment submitted by Facilities. Develop a plan to resolve issues.
• Provide quality control inspection and develop reports related to work being performed by maintenance staff as decided by established maintenance schedules.
• Maintain inventories to ensure staff members are appropriately equipped to perform their job functions. Coordinate and oversee periodic training for maintenance staff.
• Ensure that emergency response equipment is properly situated throughout the building.
• Prepare assignments and organize workload for all maintenance shifts to include evening, overnight, and weekend services.
• Review specific COVID-19 cleaning services being provided and align with ViacomCBS (Return To Office (RTO) plans. Develop a daily report indicating the quality of work being provided.
• Supervise labor for special projects and events to ensure all facilities services are being provided.
• Interact with various maintenance staff on overlapping shifts to ensure information relays are seamless—review completion of assignments and work ticket reports.
• Develop and implement monthly schedules for facilities maintenance staff to ensure coverage for all shifts, including evenings, weekends, and holidays.
• Responsible for space allocation and assignment, space inventory, space needs projections, and planning, including expansion and consolidation. Maintain detailed records.
• Implement projects and upgrades from the start-up to closeout, including budget development, construction document analysis, specification analysis, code analysis. Responsible for updating floor plans and maintaining a detailed database of all space, including location, vacant space, storage, employees, and equipment.
• First contact for building emergencies, i.e. power outages, equipment failures, weather related issues, etc. Ensure security procedures are implemented and that communications and systems are up to date.
• Supervise purchase orders, invoice processing, and vendor contract compliance.
• Prepare quarterly and yearly operational budgets.
• Assists in preparing the facilities budget by tracking expenses per vendor and long-range planning for prospective projects. Monitors budgets and expenditures and prepares ad hoc special reports as needed. Works closely with the Finance Department on invoicing and billing, capital expenditures, and capital project requests.
• Provide supervision and oversight to all Facilities Technicians in the building and ensure that they perform their work correctly and efficiently. Ensure that the staff has the proper tools and training to perform their duties effectively and safely. Balance between staff employees and outsourced personnel to ensure job duties are being fulfilled.
Basic Qualifications
• Critical building systems knowledge.
• Must have critical facility experience. Experience with generators, ATS, switches gear, BMS & Fire alarm systems, UPS etc.
• 10 years experience leading staff overseeing contractors and vendors.
• 5-7 years’ experience in Facilities Management. 5 years Project management and operational experience.
Additional Qualifications
• IT infrastructure knowledge of terminology and equipment requirements.
• Broadcast /Data center facility experience.
• Conduct fire guard training course for personnel.
• Knowledge of blueprint and construction documents is necessary, including recognition of general construction, HVAC, electrical and plumbing drawings. Proficient with means and methods.
• Excellent knowledge of building and fire codes required.
• Excellent interpersonal and organizational skills, with attention to detail.
• Ability to work independently and handle multiple tasks.
• Excellent follow up, written and verbal communication skills required.
• Proficiency in MS Office (Word, Excel, Outlook, Access, PowerPoint) MS Project, BMS systems, and PLANON cafm system helpful.
• BA/BS in facility management, Project management or related degree preferred
