POSITION SUMMARY
ViacomCBS Human Resources is seeking a Coordinator, Contract Management. This incumbent will be responsible for the contract administration of executive employment agreements (i.e., initiating contract preparation, tracking action dates, processing transactional terms).
The successful candidate must be highly organized with strong attention to detail, excellent verbal and written communication skills, be resourceful, quick-thinking and able to multi-task in a fast-paced environment. You must be a team player with the ability to work proactively, independently, and collaboratively with all levels of employees.
KEY RESPONSIBLITIES
• Track and update all aspects of contract activity
• Initiate contract requests for legal preparation, review drafts for approved terms, and act as liaison to HR Business Partners, Compensation and Legal throughout the renewal process
• Ensure accuracy of contract terms (deal terms and final executed terms) within the Company's contract database; this includes periodic auditing of information to ensure data integrity in the systems and reports
• Handle the distribution of fully executed contracts and ensure transactional components are sent to corresponding HR groups to be processed in an accurate and timely manner
• Coordinate the proper filing of agreements in electronic folders
• Prepare reports that track contractual dates or renewal activity, and proactively notify HR Business Partners and Compensation Leads of upcoming expirations
• Maintain flexibility and openness to take on additional projects as necessary or assigned
BASIC QUALIFICATIONS
• Bachelor's degree preferred or equivalent work experience
• 1-2 years' experience in a HR or Legal support role
• Exceptional communication and organizational skills with high attention to detail
ADDITIONAL QUALIFICATIONS
• Intermediate Excel skills and proficiency with other MS Office programs
• Ability to handle sensitive information, maintain confidentiality and address sensitive situations in a constructive manner
• Familiarity with HR systems (i.e., SuccessFactors, Oracle, PeopleSoft, SalesForce, etc.) a plus, but not required
