PRODUCTION ASSISTANT
LOCATION: London
MANAGER: Production Manager – UK Creative
UK Creative is a fast moving department with a high turnover of short-form work. The department is
responsible for creative output of MTV UK channels and MTV Live feed for all MTV international clusters.
Content output ranges from promos, design and packaging to branding on the ground live events, creating GFX
identity for properties across the wider international business and creating high profile multiplatform marketing
campaigns for show launches.
The Production Assistant will be required to support and liaise with the Production Manager and Production
Coordinator to provide support for the creative team from initial concept through to completion in the most
cost effective way, ensuring that the budget, schedule and creative requirements are all met. From assisting with
booking voiceovers, audio sessions to ensuring all administrative tasks are completed on time, this role is
incredibly varied and requires strong multi-tasking abilities. The Production Assistant will also work closely and
support the Production Coordinator with day to day tasks, requests and general running of the department.
YOU'LL NEED TO OWN...
FINANCE
• As directed by the Production Coordinator, raising Purchase Order requisitions relevant to music
clearances, post production sessions, agencies fees, shoot production, voiceovers.
• To liaise with the creative team and ensure audio sessions and voice overs are booked as required
• Setting up all new suppliers, under the guidance of the PC
• Setting up all new freelancers, under the guidance of the PC
• To ensure correct invoicing guidelines and deadlines are adhered to by suppliers and freelancers.
• Maintain and update records of production activity and spend, departmental filing and Excel records.
• Maintain and update records of production activity and spend, overseeing departmental filing and Excel

• To work with accounts payable to ensure all external suppliers, freelancers and casual employees are paid
correctly and on time. Assist suppliers with invoicing queries
LEGAL
• Liaise with the Production Coordinator to ensure all contracts, NDA’s, payments are up to date. Be aware of
changes to accounts payable processes.
• Following appropriate training, to have knowledge of different freelancer/casual contract types and
payment terms and employ as appropriate.
• Assisting with raising all contracts and ensuring completed contracts are returned and returned to legal.
• Update contract log, contact files and freelance contract file.
• Ensure relevant legal paperwork completed for all bookings and v/o.
SHOOT PRODUCTION
• Assist PM/PC with shot based creative including location management, castings, styling, art direction etc.
• Assist with arranging all pre-production including conceptual meetings, storyboards, reference material and
castings.
• Assist with creating call-sheets for filming.
• When required, attend recces and shoots offering general support on the day
• Basic knowledge of crew rates and overtime policies.
DEPARTMENT
• Assist the PC with organising the creative team’s daily diaries and production workflow and ensure delivery
deadlines are met.
• Ensure all projects are produced in cost- and time-effective manner while adhering to the creative ideals,
negotiating fees and maintaining schedules where necessary.
• Flag any project overage to PM and PC.
• Assist with booking all external post sessions and (including daily audio bookings).
• Liaise daily with Voice Over artist agencies to book relevant talent for sessions ensuring the correct
clearances are agreed.
• To help maintain the departmental edit schedules and calendars.
• Assemble and ensure creative teams have most up to date lists of deliverables
• To help in monitoring and ensuring all promos/design are delivered according to lists of deliverables
MUST HAVE THESE NINJA SKILLS
Some experience in production, preferably in on-air environment or commercials is desirable
Strong administration and organisational skills.
Excellent attention to detail
Experience of keeping accurate budgetary records/cost managers, reconciling budgets and using purchasing
systems/raising PO desirable.
Ability to produce a project schedule desirable
Experience of working within a department with a high turn-over of very varied work, such as on-air.
A personable manner with the ability to communicate effectively with different kinds of people, from crew to talent.
Ability to work well in a team environment and help achieve departmental goals
