JOB SUMMARY
To provide administrative and assistant support to Nickelodeon’s International Production & Development team.
REPORTING STRUCTURE
This role will report in to the SVP, International Production & Development.
KEY RESPONSIBILITIES
Departmental administrative support:
• Arrange and book travel for department members
• Submit expense reports for department members
• Track department expenditure, including employee expenses and travel costs
• Coordinate absences and holidays for the department
• Handle all car and courier bookings
• Arrange conference calls, video conferences and room bookings
• Set up meeting rooms and prepare/print meeting materials
• Assist with preparing PowerPoint presentations and other department documents
• Minute internal meetings
• Process and log all departmental submissions
• Organise and maintain the department’s shared network folders
• Upload materials to department’s FTP sites
• Order stationery, office equipment and other supplies
• Monitor incoming and outgoing post
• Provide administrative support across contracts and payments
• Photocopying, scanning, filing, faxing
Departmental assistant duties:
• Organise and manage diary appointments for department members
• Make bookings for restaurants and event venues
• Screen internal and external calls, take messages, communicate incoming and outgoing information
• Act as first point of contact for clients and visitors
• Prepare itineraries/diaries/information packs for conferences and markets
• Ensure confidentiality of key information
ROLE-SPECIFIC SKILLS/ATTRIBUTES
Core Competencies:
• Computer literate with good knowledge of Microsoft Office, including: Word, Excel, Outlook, PowerPoint
• Highly organised and proactive, with excellent attention to detail
• Able to work under a degree of pressure, multi-task and meet deadlines
