Full Time Job
Responsible for providing full administrative support and managing the day-to-day operations.
• Interface with all levels of management in all departments throughout the company
• Answer and handle incoming telephone calls
• Identify, delegate and prioritize the information that flows in via telephone, e-mail, fax, and courier so that critical issues are handled appropriately
• Schedule and maintain high volume calendar of meetings including conference calls, business lunches/breakfasts, and other business appointments
• Prepare e-mail correspondence to all levels of business
• Administrate expenses and bills, including travel and entertainment reports, and vendor invoices.
• Coordinate and execute travel arrangements
• Maintain log of department’s time off and vacation schedules
• Handle routine filing, photocopying, faxing, messengering, incoming/outgoing mail, and distribution
• Ad Hoc special projects and reporting for supervisor
Basic Qualifications
• Demonstrated excellent verbal and written communication skills
• Must possess professional telephone etiquette with a positive attitude
• Exceptional attention to detail, and excellent follow through and organizational skills
• Ability to prioritize woCandidate must possess excellent computer skills: MS Office (Word, Excel, and Powerpoint), Outlook and Internet Explorer rk under pressure and be able to multi-task well
• Excellent interpersonal skills with the ability to interact with all levels within an organization, particularly at senior levels
• Flexible team player who can confidently manage multiple tasks and inquiries from numerous internal and external department
• Candidate must possess excellent computer skills: MS Office (Word, Excel, and Powerpoint), Outlook and Internet Explorer
Additional Qualifications
• 1-2 years experience as an Administrative Assistant
• Bachelor’s degree preffered
