The Associate Events Marketing Manager will assist in managing department related tasks, will help to coordinate larger events led by senior managers and will independently manage their own events as directed.
Responsibilities:
Event Research
- Research and develop creative concepts, activation ideas, décor / design schemes
- Create event design decks for Variety and for sponsors
- Attend venue site checks and determine venue feasibility; notes, pictures & measurements for all production
- Assist on sponsor calls and liaise in meetings and calls and maintain notes and materials
Event Marketing
- Liaise with internal team regarding special events including seating, RSVP process and follow up
- Work closely with internal creative team for all event collateral / creative assets
- route event creative for approval
Event Logistics / Production
- Assist with creation and maintenance of all necessary production documents, forms, spreadsheets as needed:
- Timelines / ROS / Program
- Budget creation, submission and reconciliation with the finance team
- Sponsor Deliverables (with sales team)
- Production of printed materials and all event collateral
- Floorplans / Layout
- BEOs and contracts (all f&b / catering / staffing, parking, security)
- Vendor / Venue orders and invoices
- Event Permits
- Onsite event management
- Assist with all onsite event logistics and production
- Liaise with vendors, venue & staff logistics, questions, concerns
- Coordinate production companies with load-in, load-out and all event logistics / timeline
Event Post-Production
- Reconcile outstanding invoices
- Make all event related payments
- Confirm all post-event logistics with vendors / venue
- Update final event budget
- Schedule post-event calls / emails with all appropriate entities
- Provide post event analysis, budget recaps, internal and client feedback
Other Marketing Functions
- Choose select photos from events
- Maintain marketing, venue and vendor lists
- Maintain internal events calendar and invite appropriate staff
- Assist with overall event organization including mailings, calendar invites and conference calls
- Create, negotiate and maintain vendor / venue relationships and logistics
- Conduct consistent venue research for conference locations and private events
- Keep reviewing event trends and event vendors; build a large arsenal of contacts
