Human Resources Coordinator, Dick Clark Productions
dick clark productions, a diverse entertainment company and producer of a wide range of television programming, including awards shows, specials, and reality series, is seeking a highly qualified Coordinator, Human Resources. This position will be based in Beverly Hills.
Description
As a member of the Human Resources department, the Coordinator is an integral part of the team tasked with assisting the dcp's VP of Human Resources and working closely with Valence Media's human resources office.
Role and Responsibilities
• Create and maintain accurate and compliant personnel files, forms, and HR Shared Drive (of electronic files)
• Create and maintain Status Change Forms (SCF's) for all personnel changes, including new hires, transfers, promotions, terminations and all other applicable changes to personnel records
• Prepare required documents for separations, exit interview document preparation, collection of employee assets and scheduling of exit meetings
• Managing phone calls and correspondence
• Support VP HR team in day-to-day projects, answering basic employee questions with a focus on customer service and maintaining a positive attitude; when necessary, escalate calls and inquiries to the appropriate person
• Answer telephone, screen calls, route callers, take messages, respond to internal and external inquiries, and provide routine information within the scope of authority
• Schedule, organize, and coordinate meetings and interviews, including coordination, preparation, and distribution of materials, agenda, notes, and hand-outs. Work closely with Valence Media's HR Talent Acquisition on open positions
• Track all active and terminated staff and maintain paperwork
• Onboard new hires, conduct new hire orientation, liaise with Facilities and IT on new hire work/office space and technology needs, and coordinate new hire needs with benefits
• Liaise and work closely with Payroll and AP on employee matters and vendor payments etc.
• Assist with job descriptions and post open positions; creation of requisition forms and audit of weekly open requisition report; and maintain org charts, turnover reports, new hire, and term reports
• Reconciling benefits statements and assisting with benefits issues
• Assists in coordinating Open Enrollment activities, leaves of absences, workers' compensation and other benefits related matters
• Assign and track Sexual Harassment Training and other required training programs
• Preparing confidential reports and maintaining employee files
• Support the VP of HR with succession planning and compensation
• Coordinate employee events (e.g. Lunch and Learn sessions)
• Provide support for planning and executing larger events (e.g. Employee Newsletter, Valence Events, Holiday Party)
• Prepares Employee Newsletter, sends all-staff communications (e.g. holiday closures) from dcp HR email and maintain HR inbox
• Handles new hire on-boarding and off-boarding
• Assists in training initiatives
• Preparing and maintaining files and expense reports
• General office duties
• Handles verification of employment, SDI and UI claims
• Assists with the administration of benefits
Requirements
• Excellent verbal and written communication skills
• Exceptional attention to detail
• Highly organized
• Must be trustworthy, possess good judgment and ability to work with confidential information
• Excellent computer skills Word, Excel, PowerPoint
• Ability to assist wherever needed
• Motivated and passionate team-player

• Ability work well in a fast-paced environment
• Ability to successfully meet deadlines
Experience and Education
• 1-3 years of prior experience with an entertainment company or agency
• 2-3 years of prior experience in Human Resources
• BA/BS degree required
