
Executive Assistant for People Team

UTA seeks to hire an Executive Assistant to join our People Team in our Beverly Hills office. Qualified candidates must have precise, detail-oriented organizational and administrative skills, as well as excellent verbal and written communication abilities. Candidates must have the ability to manage multiple projects in a high-volume environment, exercise judgement on prioritizing tasks, and have experience in an office environment managing heavy scheduling, phone calls, and administrative tasks. This is an in-office role.
This is a full-time position with benefits and will be paid $24.00 to $30.00 per hour based on experience and skills.
What You Will Do
• Significant email and calendar management (via Outlook) on behalf of two Executives with both UTA employees and UTA Candidates (internal and external meetings)
• Task and project management (reminder of to-dos, deadlines, email drafts, etc.)
• Maintain schedule of staff check-ins, department check-ins and regular meetings to maintain the ''high touch'' nature of the People Function
• Assist in pulling data reports from Workday and preparing basic data, as requested
• Book travel and complete expenses report management
• Efficiently coordinate interviews between candidates and interviewers within the organization.
• Maintains candidate database and oversees incoming inquiries.
• Prepare and post jobs.
• Continuously develop business knowledge and acumen of company and departmental objectives.
• Coordinate UTA hosted events with academic and alumni partners
What You Will Need
• 3+ years of experience supporting a senior level executive required
• Strong proficiency in Excel, PowerPoint, Outlook, Word
• Knowledge of Workday and Asana
• General business knowledge and interest in media, sports, and entertainment business
• Highly professional with upmost discretion always
• Ability to work under pressure and in a fast-paced environment
• Positive team-player attitude and committed to ''going the extra mile'' as a matter of due course
• Exemplary Customer Service mentality demonstrated through effective communication and interpersonal skills
• Keen attention to detail, strong problem-solving and decision-making skills
• Skilled at prioritizing and managing time to meet defined goals.
