UTA seeks an Assistant to support UTA's Benefits team. This person will assist the Benefits team on the day-to-day administration of the health and welfare plans. Qualified candidates must have precise, detailed-oriented organizational skills, as well as excellent communication and writing abilities. Candidates must have the ability to manage multiple projects in a high-volume environment, and experience in an office environment handling calendar scheduling and phones.
This is a full-time position with benefits and will pay $23.00 to $27.00 per hour commensurate with experience.
What You Will Do:
• Assist the VP, Benefits with phone coverage, calendar management, travel coordination, filing and expense reports
• Serve as the first point of contact for benefits inquiries: Monitor the main UTA benefits inbox and respond to or route incoming emails and requests promptly to the appropriate team member
• Schedule and coordinate meetings and events, including booking rooms, preparing materials, managing attendee lists, and handling logistics
• Support the administration of health, wellness, and employee perk programs, including tracking reimbursements, submitting check requests, and preparing reports
• Process benefit-related tasks in Workday, such as enrollments, qualifying life events, and leave of absence updates; perform data audits to ensure accuracy
• Coordinate benefits orientation communications for new hires, maintain tracking systems, and send out invitations for weekly orientation sessions
• Support the administration and data integrity of the 401(K) retirement plan, including the annual audit data selection and data gathering process
• Maintain and organize resources like FAQ documents and enrollment instructions
• Support offboarding tasks, including COBRA processing, documentation, and communication
• Liaise with vendors and employees regarding benefit eligibility, coverage questions, and issue resolution
• Support special programs, life event gifts, and tracking/reporting
• Manage incoming mail for the People and Payroll teams and provide general administrative support
• Support the annual Open Enrollment process, including scheduling sessions and 1:1s, distributing materials, and answering employee questions
• Assist with planning and logistics for quarterly educational events and annual wellness events
• Track and process vendor and insurance invoices, escalating concerns as needed
• Support the Benefits team with worker's compensation reporting and leave of absence tracking
• Support wellness event coordination: Assist with the planning and logistics of local and company-wide wellness initiatives (e.g., UTA Health Fair, summer virtual events, open enrollment), ensuring inclusive and accessible experiences, both in-person and online
• Maintain lifecycle communications: Assist with sending out benefit-related communications at key employee milestones, including new-hire orientation invites, monthly activation status updates, and general benefit reminders.
• Maintain and update tracking logs and protocols
• Conduct annual benefits document audit: Partner with the team to review and refresh benefits documentation, identifying and removing outdated materials to ensure accuracy and compliance.
What You Will Need
• Bachelor's degree strongly preferred
• 3+ years of experience as an administrative assistant, preferably within an HR department and
• Benefits experience highly preferred
• Workday proficiency strongly preferred
• Proven ability to manage tasks with competing priorities, independently determining order of priority, intelligent anticipation, self-initiating other value-added tasks; and
• Strong working knowledge of Microsoft Office applications including Excel, Word, PowerPoint, and Outlook.
