Full Time Job
UTA is seeking an Assistant to the Partner & Head of Speakers. UTA Speakers are among the most sought-after luminaries in the world. The agency represents some of the world's sharpest minds and provocative figures from business and politics, technology and entertainment, literature, sports, and beyond.
The ideal candidate must have the ability to proactively function under tight deadlines and have experience managing daily schedules/calendars, as well as preparing for meetings and manag ing a high volume of emails. Qualified candidates must have precise, detailed-oriented organizational skills, as well as excellent communication and writing abilities.
This is a full-time position with benefits and will pay $23.00 - $25.00 per hour commensurate with skills and experience.
What You'll Do
• Manage phone, calendar, and research for meetings, schedule meetings and calls
• Manage and maintain event tracking spreadsheets, internal event database software, and draft communications
• Liaise with internal staff at all levels within different departments and talent & buyers
• Expense reports - prepare monthly reports for review & submit to accounting
• Work in tandem with the events and travel team and confirm all travel reservations
• Attend and take notes at weekly departmental meetings
• Prepare pitch materials and client One Sheets
• Assist the Marketing Department by updating client materials, when appropriate
• Oversee and work along the entire event pipeline: from initial pitches, to tracking and reviewing contracts, managing client calendars, ensuring payments are in-house, handling communications between clients and buyers, coordinating pre-event calls, and finalizing Event Profile documents
• Attend and oversee virtual and in-person events when directed
What You Need
• Minimum 1+ years' assistant experience, a plus within the entertainment industry
• Bachelor's degree strongly preferred but not required
• Ability to prioritize and thrive in a fast-paced, highly intense client service work environment
• Highly proficient technical skills with Microsoft Office suite (Excel, Word, PowerPoint)
• Knowledge and curiosity for key players throughout the entertainment industry
• Understanding of UTA's Client Roster
