Assistant to Partner & Co-Head, Production Arts

UTA’s Production Arts department is seeking an Assistant to support the Partner & Co-Head of Production Arts. The department represents a roster of production talent including directors of photography, producers, production designers, costume designers, editors, and other key department heads.
The ideal candidate is proactive, detail-oriented, and comfortable operating in a fast-paced agency environment while managing multiple priorities and deadlines.
Responsibilities
• Manage phones, calendars, and meeting logistics including internal and external scheduling
• Conduct research and prepare materials for meetings
• Maintain spreadsheets and databases and draft written communications
• Liaise with internal staff across departments as well as external clients and partners
• Prepare and process monthly expense reports for approval
• Track and update contracts, client calendars, and payments using internal tracking systems
• Anticipate team needs and create efficient processes to support business operations
