UTA's New York office has an immediate opening for an Agent Assistant in our Speakers Division. UTA represents some of the world's sharpest minds and provocative figures from business and politics, technology and entertainment, literature, sports, and beyond. Our Speakers Division is among the largest and most influential in the world with our roster being among the most sought-after talent. Our ideal candidate is knowledgeable about prominent entertainment figures, is comfortable providing general administrative support and thrives in a fast-paced environment.
Responsibilities:
• Serve as the first point of contact with VIP clients and executives
• Heavy phone management – answer and transfer calls, schedule & coordinate conference calls (including multi-party, multi-time zone conference calls)
• Calendar management – daily calendar management; update, cancel and confirm meetings. Scheduling and coordinate meetings, both in-office and offsite
• Expense reports - prepare monthly reports for review & submit to accounting for approval
• Travel booking and coordination
• Assisting with events
• Special projects
• Personal assistance as needed
• The ability to work unexpected frequent overtime
Qualifications:
• Preferred but not required BA/BS from an accredited University or College
• Administrative experience supporting an executive in a fast-paced environment, preferred
• At least 1 year of agency desk experience, a plus
• Experience booking as part of your University's Campus Events Committee, a plus
• Experience in events planning and logistics, preferred
• Outstanding written and verbal communication skills, excellent phone demeanor
• Excellent interpersonal skills, while understanding the importance of maintaining confidentiality
• Must be reliable and possess good judgment
• Must be service-minded
• Ability to anticipate needs
• Ability to meet tight deadlines
• Strong attention to detail
• Computer literate (Microsoft Outlook, Word, Excel)
• Knowledge and curiosity for the entertainment industry
• Understanding of UTA's Client Roster, a plus
