United Scenic Artists is accepting applications for the position of Assistant to the National Business Agent.??
The Assistant to the National Business Agent reports to the National Business Agent and performs a variety of hands-on administrative tasks for the Union.?This position acts as a point of contact for our Business Representatives, Administrative Staff, Boards and Committees, Membership, and External Partners and manages the National Business Agent's information flow in a timely and accurate manner. This position is based in our National / Eastern Region office in New York City and starts immediately.
Description of Duties:?
Provides complex calendar management support including scheduling appointments, arranging meetings, anticipating needs and rearranging meetings when necessary.
Act as liaison between Executive and Regional boards and the business office staff along with serving as a point of contact for all external stakeholders.
Conduct research, draft agendas and distribute important correspondence ahead of meetings.
Schedule, setup and administer Zoom meetings (experience handling hybrid meetings a plus).?
Draft and format email correspondence, briefings and various information for internal and external communication.?
Track and manage credit card expenses, receipts, and reimbursements.
Handling of domestic and international travel arrangements including occasional personal support.
Screen and direct phone calls and distribute correspondence.?
Handle off-site meetings including room booking, setup, catering order and occasionally running tech support.
Proactively assist with various office administration tasks, events and ad-hoc projects.
Perform a host of other duties as required.?
Skills Requirements?
Excellent verbal and written communication skills
Creative problem-solving and strong time management skills
Ability to work independently and organize a daily workload by priority
Must be able to multi-task and meet deadlines in a fast-paced quickly changing environment
Experience with discretion and maintaining confidentiality of highly sensitive information
High level of proficiency in Microsoft Office suite (Outlook, Word, Excel and PowerPoint)?
Knowledge of running data and various reports; tech-savviness a plus.
Experience working with people from a diverse array of backgrounds.?
Ability to receive and apply feedback quickly.
Flexibility to work extended hours, when needed.
The successful applicant will have 2+ years of administrative support for a senior level director in a high-paced environment, good language skills both verbal and written, professional discretion and care for confidential information, mastery of Microsoft Office suite, Zoom and similar computer applications, well-developed organizational and logistical skills, attention to detail, proven interpersonal intelligence, and the ability to work across teams and with a variety of projects and stakeholders. Professional knowledge of the entertainment industry in live performance or motion pictures strongly preferred.?
