Executive Assistant to SVP, Research and Strategy
This role supports the SVP, Research and Strategy, United Artists Entertainment by maintaining the flow of research including preparing documents, managing databases, and archiving, updating, and distributing all the crucial information the Research and Strategy department needs on a regular basis.
Essential Job Duties
• Administrative duties including managing a schedule, coordinating meetings with both internal and external parties, and handling phones
• Helps manage departmental budget by tracking all incoming costs from vendors
• Prepares and processes expense reports
• Coordinates travel schedules and arrangements
• Partner with Legal and Finance to onboard new vendors
• Handle contract paperwork and processing (MSAs, SOWs, Monitoring Invoices)
• Maintains up-to-date contact lists
• Responsible for preparing meeting-related materials in addition to presentations
• Maintains databases and digital filing system for all work
• Manages and prepares tracking and tack-on data
• Identifies comps for all upcoming films
• Synthesizes open-ended responses
• Maintains a professional, friendly demeanor even during hectic days
Qualifications
• 1 year administrative experience in entertainment, media related industries, or a market research agency
• Bachelor's degree preferred
• A background in market research, business, or statistics
• Proficient in Excel
• Proven proactive approach to problem solving
• Ability to build strong relationships with all levels of employees, as well as outside contacts
• Reacts quickly to last minute requests
• Maintains a high level of discretion in handling confidential and sensitive information
• Outstanding communication skills both written and verbal
• Must be able to work on a team with willingness to assist co-workers as needed
• Demonstrated ability to manage multiple priorities
• Interest in Market Research strongly preferred
