Responsibilities:
• Preparing confidentiality agreements and distributing scripts.
• Updating production books for each film (new script pages, shooting schedules, crew lists, etc.).
• Collecting current client lists from placement agencies.
• Researching Fortune 500 companies for appropriate placement contacts and updating internal database.
• Preparing and distributing Product Placement agreements.
• Selecting still photos of placements, ordering film clips featuring placements, & preparing and distributing agreements for signature.
• Traffic controlling invoices for lost/damaged product.
• Daily reading of scripts and breakdowns.
• Coordinating screenings for product placement partners.
• Distributing monthly status and quarterly trade value reports for each film.
• Coordinating the return of products after production is wrapped.
• Collecting & preparing trade value information for quarterly reports for each film.
• Creating and designing pitch letters.
• Watching dailies to confirm placements.
• Answering Executive's phone.
• Scheduling meetings and maintaining department calendar.
• Coordinating travel arrangements, as required.
• Preparing Executive's expense reports.
• Filing and ordering supplies.
Basic Qualifications:
• 2 years of progressively responsible coordination experience.
• Must have solid working knowledge of production operations.
• Strong organizational skills, ability to multi-task and organize multiple projects, with excellent follow through.
• A strong customer service orientation with ability to anticipate and resolve routine questions or issues while still keeping senior management aware of project status.
• Excellent written and verbal communication skills with an ability to effectively interface with 3rd party vendors as well as internal executives and staff in a collaborative and problem-solving manner.
• Comfort taking initiative and independently researching information as needed.
• Working knowledge of purchase orders and expense reporting processes.
Preferred Education
• Bachelor's degree or commensurate level of experience preferred.
