Title: Administrative Assistant
Reports To: Chief Executive Officer
Job Type: Non-Exempt, Full-Time
Salary Range: $49,400 - $59,800 per year
Location: Onsite, New York, NY
Job brief
We are looking for someone capable of wearing a few different hats, with excellent communication skills and an upbeat attitude. Candidates should be able to assist leadership by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, and generally being a helpful and positive presence in the workplace.
To be successful as an administrative assistant, candidates should be professional, polite, and attentive while also being accurate. They should always be prepared and responsive, willing to meet each challenge directly. Administrative assistants must be comfortable with computers, and general office tasks, including excel and verbal and written communication. Most importantly, administrative assistants should have a genuine desire to meet the needs of others.

Responsibilities
• Front desk reception: greet visitors, light phone answering and directing calls
• Organize and schedule appointments
• Plan meetings and take detailed minutes
• Maintain office such as making coffee, emptying the dishwasher, picking up orders, and breaking down boxes
• Write and distribute emails, correspondence memos, letters, and forms
• Assist in the preparation of regularly scheduled reports
• Develop and maintain a filing system
• Update and maintain office policies and procedures
• Order office supplies and snacks, researching new deals and suppliers
• Maintain contact lists
• Book travel arrangements
• Bring deposits to bank
• Provide general support to visitors
• Manage daily mail, sorting and distributing mail daily and dropping off FedEx packages and mail as needed
• Complete digital filing
• Set-up group events
• Liaise with the executive to handle requests and queries from Key Accountants
Requirements and skills
• Knowledge of office management systems and procedures
• Working knowledge of office equipment
• Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
• Excellent time management skills and the ability to prioritize work
• Attention to detail and problem-solving skills
• Excellent written and verbal communication skills
• Strong organizational skills with the ability to pivot between tasks efficiently
• High School degree; additional qualification as an Administrative Assistant a plus
