POSITION SUMMARY
As a Director of Operations, you will oversee and optimize the agency’s operational processes. You will lead the implementation of initiatives that scale our operations and increase efficiencies. You will be the glue between our corporate shared services and our division’s leads to ensure day-to-day operations run smoothly while striving for continuous improvements. Your exceptional project and resource management expertise, deep understanding of ad agencies' functions, and ability to collaborate with cross-functional teams will be critical to your success in this role.
The ideal candidate is a Swiss-army knife: organized and process-driven, experienced in an operational role at an ad agency or marketing organization, and is focused on creating structured workflows that can scale. You are a solutions-oriented problem solver who is not afraid of rolling up their sleeves, designing ways of working that improve operational efficiency and boost bottom-line profitability. You’ll get to assess existing processes and their gaps and get the opportunity to make your own mark by building out scalable processes and workflows you know worked at other agencies, and use the tools/platform that you think will get the job done most efficiently.
WHAT YOU WILL DO
• Assess existing workflows, tools, and processes, and identify gaps, bottlenecks and areas for improvements.
• Develop a comprehensive operations strategy roadmap aligned with the company’s overall objectives, focusing on improving efficiency, quality and profitability.
• Foster effective cross-functional communication & partner with the Group’s Shared Services departments as well as Project Management, Account, Production, Strategy, and Creative leads in our division to implement and drive change.
• Develop scalable and standardized Standard Operating Procedures and ensure all existing and new hires are trained and up-to-speed on most recent ways of working.
• Establish strong relationships with HR, recruiting, IT, legal, finance and other divisions’ Operations Directors.
• Optimize resource allocation and resource management processes, including overseeing freelance & FTE staffing with Talent Acquisition partners, budgeting, and meeting cadence to ensure effective team utilization that meet project requirements.
• Create, implement and continuously measure formal hour tracking and financial measurement procedures to create accountability amongst teams and ensure projects, client portfolio, and agency are profitable.
• Take lead on staffing decisions and approvals supported by data to ensure current client expectations can be met profitably while also anticipating future staffing requirements to influence staffing and headcount.
• Forecast, track, and report on all client revenue and manage profitability in close partnership with Head of Account Management and President.
• Hire and train a resource manager and operations manager. Mentor, provide guidance, feedback, and professional development opportunities to foster a high-performing and motivated team.
• Partner with the operations manager on facilitating agency-wide events and experiences to build team rapport and further foster agency culture.
• Partner with TPG Facilities Manager and operations manager on office space optimizations and improvements.
WHAT YOU WILL NEED (QUALIFICATIONS):
• 7 years hands on operations experience, including operations expertise derived from an agency environment. This role requires someone acutely familiar with the nature of utilization on billable projects, understanding of creative workflow and leading teams on efficiencies in the integrated marketing space.
• Proven track record of successfully optimizing operational processes and driving efficiency in a fast-paced deadline driven environment.
• Excellent leadership and team building capabilities, with the ability to motivate and inspire a diverse team.
• Exceptional organizational and problem-solving skills, with keen eye for detail.
• Excellent communication and interpersonal skills, with the ability to collaborate and work effectively with cross-functional teams, clients, and external partners.
• Proficiency in project management tools and software & data analysis.
• Strong understanding of business functions such as HR, Finance, Operations, Client Account Management, Project Management, etc.
• Financial experience to complement business acumen â€''knowledge of resource planning, KPI setting, etc.
