San Francisco, CAThis is a Part Time Job
Technical Production Coordinator (contract | part-time)
The Role
TRADEMARK is seeking experienced, highly organized Technical Production Coordinators to support our Technical Directors across corporate, experiential, and broadcast-style live events on an hourly contract basis.
Our Technical Production Coordinators provide day-to-day production coordination and administrative support across projects and programs, helping keep technical workstreams organized, vendors informed, schedules current, budgets tracked, and important details moving forward. By owning many of the coordination needs surrounding technical production, you will create greater bandwidth for our Technical Directors to focus on technical strategy, client relationships, problem-solving, and onsite execution.
You will work closely with Technical Directors, Producers, Production Managers, technical vendors, and crew leads throughout the event lifecycle. This role is ideal for someone who understands live event production, is highly organized, and enjoys keeping details, people, and information connected behind the scenes.
This is an hourly contract role, with the duration, weekly hours, and schedule varying based on project and production needs. Some engagements may begin with part-time hours and scale as programs move closer to execution, while others may require more consistent or full-time support during active production periods. Onsite support and travel may also be required for select programs.
What You'll Do
Provide day-to-day production coordination and administrative support across technical workstreams, events, and programs
Attend internal, client, and vendor production meetings; capture notes, decisions, action items, and follow-ups
Maintain action-item trackers and proactively follow up with internal teams, vendors, and crew to keep deliverables moving
Serve as a day-to-day point of contact for technical vendors, ensuring relevant information, updates, and changes are communicated clearly
Assist with developing, distributing, and tracking RFPs and vendor responses
Coordinate equipment and gear updates with technical vendors and maintain current information across project documents
Manage and maintain production, technical, and rehearsal schedules, ensuring changes are reflected across teams and documents
Track crew counts, schedules, and requirements and coordinate outreach with department and crew leads
Assist with technical vendor and crew logistics as needed
Track technical production budgets against actual costs, maintain current financial information, and flag discrepancies or changes for review
Maintain organized shared drives, folder structures, and project documentation so teams can easily access current information
Maintain linked Google Sheets and other working documents, ensuring information remains accurate and consistent across project files
Coordinate information and deliverables across Technical Directors, Production teams, vendors, and other internal partners
Proactively identify missing information, upcoming deadlines, and potential issues and help drive follow-up and resolution
Support onsite technical production coordination for select events as needed
Take on additional technical production coordination responsibilities as project needs and workload evolve
What You Bring
3+ years of experience in production coordination, technical production, live events, experiential events, broadcast production, AV, or a related environment
Working knowledge of live event production and basic technical/AV terminology, workflows, equipment, and departments
Exceptional organizational skills with strong attention to detail and follow-through
Ability to manage multiple projects, priorities, deadlines, and changing details simultaneously
Experience coordinating with production vendors, technical partners, and event crews
Comfortable managing production and rehearsal schedules, crew information, equipment details, and other project logistics
Experience working with budgets, estimates, purchase information, and/or financial tracking
Strong proficiency with Google Workspace, particularly Google Sheets, Docs, and Drive
Proficiency with Microsoft Excel
Clear, professional written and verbal communication skills
Ability to capture detailed meeting notes, identify action items, and translate conversations into clear follow-up
Proactive approach with the ability to recognize when information is missing, something hasn't been updated, or a deadline is approaching and take action
Comfortable working in a fast-paced environment where priorities and project needs can shift quickly
Collaborative mindset and the ability to work effectively with Technical Directors, Producers, Production Managers, vendors, crew, and clients
Basic Vectorworks literacy is a plus, but not required; ideally comfortable opening drawings, pulling dimensions, and exporting or sharing files with vendors
Willingness to learn and continue building technical production knowledge
Success in This Role
Success in this role means bringing organization, consistency, and strong follow-through to technical production while creating greater bandwidth for our Technical Directors to focus on higher-level technical and client needs.
You will:
Keep technical production workstreams organized, current, and moving forward
Ensure action items, schedules, crew information, vendor updates, and project documentation are consistently maintained
Create clear and reliable communication across Technical Directors, Production teams, vendors, and crew
Maintain accurate budget tracking and flag changes or discrepancies early
Ensure technical vendors and crew have the information they need when they need it
Anticipate follow-ups, missing information, and upcoming deadlines rather than waiting to be asked
Maintain organized and reliable project files that serve as a clear source of truth for the team
Adapt your support based on changing project demands and production schedules
Build strong working relationships with internal teams, vendors, and technical partners
Create meaningful bandwidth for Technical Directors to focus on technical strategy, client needs, problem-solving, and successful execution
