We are currently hiring for the position of:
SUBMISSIONS COORDINATOR
Reporting to the Manager, Submissions & Operations, the Submissions Coordinator is responsible for administrative tasks relating to film submissions for the Toronto International Film Festival, including applicable material collection and general data responsibility. This position works in collaboration with internal teams to ensure exceptional service, support, and administrative processes for filmmakers, and applicable external stakeholders.
RESPONSIBILITIES:
• Receive, process, and catalog all Festival submissions
• Create and maintain accurate database records
• Communicate clearly and effectively with submitters, provide information and troubleshooting advice as necessary
• Ensure that submissions are directed to the appropriate member of the Programming team in a timely manner
• Work with Programming team to track and communicate verdicts for film submissions
• Facilitate established submission processes and workflows amongst Submissions and Programming staff
• Disseminate official notification letters
• Assist with collection and data entry of Film Tags
• Assist with other Festival initiatives and Festival Programming team responsibilities as required
• Compile a detailed post-mortem report
JOB GRADE & SALARY:
• Job Grade 1
• $23/hour
TARGET CONTRACT DATES:
• Monday, March 18, 2024 - Friday, August 2, 2024 (20 weeks)
WORK LOCATION:
• Office Location: 350 King Street West, Toronto, ON M5V 3X5
• Weekly in-office requirements:
• Minimum 2 days (March to May)
• Minimum 3 days (June to August)
MINIMUM REQUIREMENTS:
• Experience working at a cultural institution or festival an asset
• Minimum 1 year administrative or coordination experience
• Familiarity with the film industry and international cinema
• Strong communication and interpersonal skills
• Strong organizational and project management skills with extreme attention to detail and ability to prioritize
• Experience handling large volumes of data or information with accuracy
• Proficient computer skills, familiarity with databases, CRMs, project management tools, Microsoft Office, Google (experience with Artifax and FilmFreeway considered an asset)
• Precise memory for names, positions, companies and situations
• Mature personal judgment, exhibiting a high level of professionalism and diplomacy, and ability to handle confidential information
• Ability to both work independently and in a team environment
• Ability to handle challenging situations and people with positive, problem-solving attitude
• Ability to work, prioritize and respond well in deadline-oriented, fast-paced and high pressure environments
• Additional language(s) an asset
