We are currently hiring for the position of:
SENIOR COORDINATOR, BOARD & EXECUTIVE RELATIONS
Reporting to the Senior Manager, Board & Executive Relations, the Senior Coordinator, Board & Executive Relations provides administrative support for the CEO and members of the Leadership team (CPO, CFO, CBMO as well as VP, Strategy, Communications & Stakeholder Relations, and VP, People & Culture) including management of meeting requests/calendars, travel, correspondence, research/preparation of presentation materials and briefing reports.
RESPONSIBILITIES:
Including but not limited to:
Executive Office
• Manage calendar and daily schedules of CEO and/or members of the Leadership team; receive and facilitate internal and external meeting requests
• Prepare meeting briefs and other related materials, including backgrounders, reports, individual bios,
• as required
• Monitor key trade/consumer press on a daily/weekly basis for topics/items of interest to Leadership
• team
• Create and/or edit presentation materials, including speaking notes, slide presentations.
• Draft correspondence, as required
• Coordinate all business related travel details
• Track and submit expenses; assist Senior Manager, Board and Executive Relations with developing quarterly/annual budget buildups.
• Perform general office duties including booking/coordinating meetings, compiling and distributing minutes, maintaining filing systems, arranging couriers, compiling/submitting purchase orders and expense reports.
Board Relations
• Provide support / act as backup to Senior Manager, Board and Executive Relations for Board meetings, including committee meetings.
• In conjunction with Senior Manager, Board & Executive Relations, participate in general stewardship of Board members throughout the year, including invitations to relevant events, monthly updates, and support during the festival.
JOB GRADE & SALARY:
• Job Grade 2
• $50K-$68K
TARGET CONTRACT DATES:
• Start date: March 18, 2024
WORK LOCATION:
• Office Location: 350 King Street West, Toronto, ON M5V 3X5
• Weekly in-office requirements:
• Minimum 2 days (November to May)
• Minimum 3 days (June to October)
• Festival Office Requirements: Full Time during Festival
MINIMUM REQUIREMENTS:
• Post-secondary degree / diploma preferred
• Experience with festivals and / or other cultural organizations preferred
• Adaptable to a flexible work schedule including some evenings and weekends
• This position requires being in office on a regular basis.
