We are currently hiring for the position of:
SITE COORDINATOR, FESTIVAL VILLAGE
Reporting to the Production Manager, Festival Village, the Site Coordinator, Festival Village is responsible for the on-site coordination of logistics and production activities in Festival Village, including David Pecaut Square and Festival Street, while assisting the team in the supervision of area operations. The Site Coordinator will work directly with suppliers, construction companies, sponsors, the City of Toronto, and internal TIFF departments in the execution of the Festival Village production plan.
Responsibilities
• Act as an on-site TIFF representative for logistics and production activities
• Manage delivery, setup and install of all rental equipment and supplies as required
• Ensure the festival site is built to plan, while maintaining the production schedule
• Maintain inventory of supplies and equipment at all times, and ensure accurate returns
• Maintain and enforce industry leading safety protocols and guidelines across all production teams and partners
• Maintain relationships with property owners, community partners, the City of Toronto, sponsors, and other stakeholders regarding site set-up, access, and use
• Supervise and train TIFF security personnel in assigned area
• Supervise production assistants and production staff
• On-site coordination of production vehicle traffic
• Communicate changes in the production schedule to required parties
• Coordinate load-in and load-out of sponsor activations
• Assist the Festival Village team in the supervision of festival operations, as needed, including Fan Zones, programming activations, security operations, and red carpet activities
• Other duties as assigned
• NOTE – this position may involve an overnight shift schedule during festival – September 5-12
Minimum Requirements
• Demonstrated experience in large event or festival production, logistics, or planning
• Previous festival experience an asset
• Experience with loadins/loadouts, activation builds and teardowns, site operations, technical setups
• Excellent organizational and planning skills
• Experience working with vendors, corporate partners & suppliers
• Experience working with multiple stakeholders and conflicting priorities
• Experience with outdoor event health & safety standards and construction site regulations in Toronto
• Excellent verbal, written, and inter-personal communication skills
• Ability to work both independently and in a team environment
• Desire and ability to take initiative and coordinate
• Understanding and commitment to creating a superior product
• Demonstrated leadership and supervisory abilities
• Ability to maintain efficiency while working under multiple, strict and tight deadlines
• Keen attention to detail
• Ongoing awareness of industry trends
• Adaptable to a flexible work schedule including early mornings, evenings and weekends
