We are currently hiring for the position of:
SENIOR COORDINATOR, PROGRAMME & GUEST SERVICES
The Senior Coordinator, Programme & Guest Services coordinates high-level guest services for major TIFF year-round screenings, festivals, and events, with a focus on developing and guiding strong process documentation and workflows. The Senior Coordinator is also responsible for providing training and support to the seasonal Programme & Guest Services team, and coordinates administrative processes for TIFF’s year-round programming operations. This position works closely with relevant teams to ensure exceptional administrative and operational support for internal and external stakeholders.
RESPONSIBILITIES:
• Developing and updating training materials and process workflows for seasonal Festival staff
• Support the onboarding and training of seasonal Film Coordinators, ensuring required levels of staff performance are met
• Supervise the official invitation process, content and materials collection, and guest coordination for films in the Official Selection
• Lead the guest coordination of major year-round programming initiatives such as Canada’s Top Ten and Next Wave Film Festival
• Provide exceptional service to both internal and external stakeholders in coordinating the attendance of TIFF programming guests, both in-person and virtually
• Coordinate guest hospitality for majority speaker events such as the In Conversation With… series, including booking travel, accommodation, ground transportation, and creating itineraries, ensuring that costs stay within budget
• Coordinate with internal departments to curate each guest’s experience, and support the programming team with hosting the guest onsite during the event
• Facilitate guest agreements, ensuring internal review and tracking signed versions
• Collect and track promotional materials for year-round programming, working closely with programming teams and liaising with film rights holders
• Support the collection of content advisories for programming and collaborate with Editorial department to flag film content for audiences
• Assist in auditing screening and event pages on TIFF.net
• Coordinate content and materials collection and guest logistics for select films in the Festival’s Official Selection lineup
• Coordinate guest logistics for other TIFF Festival events, including on-site hosting duties as required
• Provide detailed post-mortems on major Festival and year-round events
• Process department purchase orders as required
• Other coordination and administrative tasks as required
TARGET CONTRACT DATES:
• June 1 - December 31, 2026
WORK LOCATION:
• Office Location: 350 King Street West, Toronto, ON M5V 3X5
• Weekly in-office requirements:
• Minimum 2 days (November to April)
• Minimum 3 days (May to October)
• Festival Office Requirements: Full Time during Festival
MINIMUM REQUIREMENTS:
• Minimum 3 - 5 years experience in arts and culture administration
• Understanding of Canadian and international film industries an asset
• Experience working for a film festival or large scale event an asset
• Experience working with guests and VIP talent management
• Experience booking hospitality arrangements for individuals or groups an asset
• Strong, effective and professional communicator and strong interpersonal skills
• Excellent phone manner and written communication skills, as well as a knack for relationship building
• Enthusiastic, self-motivated, and open to working in a team environment
• Strong organizational and administrative skills with extreme attention to detail, diligent record-keeping and the ability to effectively prioritize tasks
• Experience collecting detailed information from stakeholders or clients, and disseminating it to others in order to execute on the instructions
• Strong computer and data management skills, including databases, CRMs, project management tools, internet research, Microsoft Office, Google Suite
• Enjoys fast-paced, multi-tasking work environment, with a willingness to adapt to shifting priorities and circumstances
• Demonstrated mature judgment, patience, professionalism and diplomacy
• Ability for discretion and handling confidential information
• Able to handle challenging situations and people with a positive, problem-solving attitude
• Ability to both work independently and in a team environment
• Ability to maintain broad focus while attending to detail

• Understanding and commitment to superior client servicing
• Adaptable to a flexible work schedule including some evenings and weekends to meet deadlines, as well as fully available during Festival
