We are currently hiring for the position of:
SENIOR EXECUTIVE ASSISTANT - MARKET
The Senior Executive Assistant – TIFF Market serves as a strategic partner to the Head of Market, providing high-level executive support while enabling the effective operation of the executive office. This role goes beyond traditional administrative assistance, combining complex calendar and stakeholder management with business operations support, planning, information synthesis, and executive decision enablement.
Working closely with the Head of Market, the Senior Executive Assistant anticipates priorities, streamlines workflows, and drives alignment across internal and external stakeholders to ensure key initiatives, decisions, and deliverables advance efficiently. The role requires sound judgment, exceptional organizational acumen, and the ability to operate with confidence and discretion in a highly dynamic environment.
The successful candidate brings a strong balance of executional excellence and strategic awareness, managing details with precision while maintaining a holistic understanding of organizational objectives. This individual is trusted to handle sensitive information, proactively solve problems, and act as an extension of the executive, contributing to the overall effectiveness and impact of the leadership team.
RESPONSIBILITIES:
Business Operations and Coordination
• Act as a trusted partner to the executive and relevant stakeholders, ensuring keeping track of priorities, effective follow-up on key matters, and continuity across activities.
• Act as liaison between the executive’s office and senior leaders, department heads, and external partners.
• Support planning and execution of key events, leadership meetings, and organizational initiatives.
• Prepare and organize materials for leadership meetings, board sessions, and stakeholder engagements including briefing documents, presentations, and summaries,.
• Compile information, meeting notes and prepare concise summaries or recommendations for executive review.
Executive and Administrative Support
• Manage calendars, appointments, and meetings, ensuring the executive leadership’s time is spent on high-impact priorities.
• Coordinate meeting logistics, take detailed notes, and ensure clear follow-up on action items.
• Serve as the first point of contact for internal and external stakeholders; manage correspondence and ensure timely, appropriate follow-up.
• Coordinate complex travel, logistics, and itineraries with attention to detail and cost-effectiveness.
• Handle all correspondence and communication emails, phone calls, and requests to ensure timely and appropriate responses.
• Maintain accurate filing systems, records, and confidential documents with discretion and efficiency.
• Support planning and execution of key events, leadership meetings, and organizational initiatives.
• Support the operational cadence of the executive’s office such as quarterly planning, leadership meetings, and milestone reviews.
• Reinforce a well-organized, communicative, and high-performance office culture.
SALARY:
• $60,000 - $80,000/annually
TARGET CONTRACT DATES:
• Immediate or upon availability
WORK LOCATION:
• Office Location: 350 King Street West, Toronto, ON M5V 3X5
• Weekly in-office requirements:
• Minimum 2 days (1st November – 30th April)
• Minimum 3 days (1st May – 31st October)
• Festival Office Requirements: Full Time during Festival
MINIMUM REQUIREMENTS:
• Bachelor’s degree, 3-5 years of experience supporting senior leaders
• Proven ability to balance administrative excellence with analytical business ops thinking.
• Exceptional written and verbal communication skills.
• Balances multiple priorities with frequent interruptions and shifting deadlines in a fast-paced executive environment.
• Strong analytical and problem-solving skills, with an ability to translate financial data into actionable insights.
• Strong organizational and time management skills, able to manage multiple priorities with minimal supervision.
• Proficiency in Microsoft Office and /or Google Workspace.
• Demonstrated discretion, good judgment, and ability to handle confidential information.
• Ability to blend structure and strategic thinking, handle logistics while understanding business context.
• Sound judgment, composure, and professionalism when navigating ambiguity or competing demands.
• Bilingualism (English/French) is an asset but not a requirement
