We are currently hiring for the position of:
PRODUCTION MANAGER, INDUSTRY PROGRAMMING
Production Manager, Industry Programming is the administrative and operational lead for the Industry Programming Team. The position plays a key role in programme logistics, including scheduling, resource and staff management, for industry talks and talent development initiatives year round and festival.
RESPONSIBILITIES:
Administration:
• Oversee departmental and interdepartmental processes, including workflow and task assignments, R-Matrices and workback schedules for new and existing initiatives
• Manage programme systems, including scheduling and logistics event builds Industry Talks and Talent Development, in collaboration with the Industry Programming team; oversee team use of Artifax, Trello, ROS, venues and room bookings, schedules and tech requirements
• Oversee industry related Communications and editorial sign off, and ensure key industry programming related docs such as press releases, event descriptions, stage remarks, web and newsletter copy, are drafted and reviewed in collaboration with the Industry Programming team
• Create, update and administer a comprehensive Industry Programming schedule and critical path with Producer of Industry Programming and ensure team is reaching key milestones
• Organize regular cost reports, including speaker fees, fellowships, hotel tracking, travel and contra/ entertainment expenses with Producer of Industry Programming
• Lead the compilation and creation of reports and presentations for Industry, interdepartmental teams and external stakeholders, including post-programme surveys to gauge impact for programme improvement purposes
• Represent Industry Department at meetings and collaborate with other teams when required
• Manage industry programming related speaker and participant invitation process
Staff Management:
• Manage the hiring and onboarding process for seasonal, fulltime and independent contract staff, including updating job descriptions and the contracting process
• Lead new team members through training sessions on interdepartmental, administrative, technical and event production processes as well as guide the team through initiatives
• Manage administrative processes for the seasonal and IC teams year round and festival, including timesheets, lieu tracking as well as assigning administrative tasks to team members
• Manage Festival seasonal team
Programme Support:
• Manage, in collaboration with the Industry Programming team, application forms process and participant surveys: language review, sign-off, open and close call for applications, while ensuring internal and external submissions related deadlines are met
• Oversee the invitation, itinerary/schedule, and hospitality processes for all Industry guests and participants in collaboration with the Industry Programming team
• Other tasks and duties as assigned
JOB GRADE & SALARY:
• Job Grade 3
• Job Grade Salary $60,000 - $70, 000 annually
TARGET CONTRACT DATES:
• Start Date: June 3, 2024
WORK LOCATION:
• Office Location: 350 King Street West, Toronto, ON M5V 3X5
• Weekly in-office requirements:
• Hybrid of WFH and 2 days a week in-office
• Festival Office Requirements: Full Time during Festival and days to deliver Year Round Initiatives
MINIMUM REQUIREMENTS:
Education and Experience
• Minimum 3-5 years of experience in the Canadian or international film industries
• Experience managing producing the planning and execution of high-level screen industry events
• Experience working with a film festival, preferably in a programming administration or production capacity
• Experience communicating with industry professionals and film creators
Skills
• Strong knowledge of Canadian and international film landscapes with a working knowledge of trends, emerging and established filmmakers, and key players
• Exceptionally strong administrative and organizational skills
• Technical aptitude; learning and using programmes such as Artifax, Trello
• Able to handle difficult situations and people with aplomb and grace
• Excellent communication skills
• Knowledge of other languages is an asset
• Excellent computer skills, and experience with G Suite applications
• Adaptable to a flexible work schedule including some evenings and weekends
