We are currently hiring for the position of:
OPERATIONS COORDINATOR, FESTIVAL VILLAGE
Reporting to the Production Manager, Festival Village, the Operations Coordinator, Festival Village is responsible for the on-site coordination of festival operations, including Fan Zones, security, partner activations, and volunteers, while assisting the team in the supervision of production and logistics activities. The Operations Coordinator will work directly with sponsors, the City of Toronto, community members, film stakeholders, the general public, and internal TIFF departments in the execution of the Festival Village operations plan.
Responsibilities
• Coordinate and supervise the operations of the red carpet Fan Zones and manage the Fan Zone staff
• Supervise festival operations, as needed, including programming and partner activations, security operations, and red carpet activities
• Supervise Festival Village and Fan Zone volunteer deployments
• Manage the operations and relationships with sponsor activations, ensuring adherence to agreements, relevant bylaws, and the delivery of promised services
• Maintain relationships with sponsors, community partners, the City of Toronto, and the general public
• Be a point of escalation for issues involving customers and the general public
• Supervise and train TIFF security personnel in assigned area
• Maintain and enforce industry leading safety protocols and guidelines across all production teams and partners
• Supervise production assistants and production staff, as assigned
• Communicate changes in the production and operations schedule to required parties
• Assist the Festival Village team in the operations of the Production Office as needed
• Assist in the on-site coordination of load-in and load-out of sponsor activations
• Assist the Festival Village team in the supervision of festival production, as needed, including supporting load-in, build, and load-out operations
• Other duties as assigned
Minimum Requirements
• Demonstrated experience in large event or festival production, operations, and planning
• Experience working with multiple stakeholders and conflicting priorities
• Demonstrated experience working on-site at a festival
• Experience working with vendors, corporate partners & suppliers
• Experience with front of house operations, volunteer management, and customer service an asset
• Excellent organizational and planning skills
• Experience working with multiple stakeholders and conflicting priorities
• Knowledge of loadins/loadouts, activation builds and teardowns, site operations, technical setups
• Knowledge of outdoor event health & safety standards and construction site regulations in Toronto
• Excellent verbal, written, and inter-personal communication skills
• Ability to work both independently and in a team environment
• Desire and ability to take initiative and coordinate
• Understanding and commitment to creating a superior product
• Demonstrated leadership and supervisory abilities
• Ability to maintain efficiency while working under multiple, strict and tight deadlines
• Keen attention to detail
• Ongoing awareness of industry trends
• Adaptable to a flexible work schedule including early mornings, evenings and weekends
