We are currently hiring for the position of:
INVITATION AND JURY COORDINATOR
Reporting to the Manager, Programme Administration, the Invitation & Jury Coordinator will offer administrative, project coordination, and operational support. Core duties include managing film information and databases, creating and delivering film and guest invitations, providing scheduling assistance, coordinating with juries, and handling daily administrative tasks. Collaboration with various teams is essential to maintain high quality service, support, and administrative efficiency for both internal and external stakeholders.
RESPONSIBILITIES:
Shall include but not be limited to:
• Input, update, audit, and reconcile a substantial volume of film data and statistics within TIFF’s film database and relevant spreadsheets and documents, ensuring accuracy and conducting research as necessary
• Assist with the management of departmental email accounts
• Create film and guest invitations; build film invitation packages using invitations database and sending them in a timely manner
• Assist in building arrangements within databases
• Audit completed Festival invitation forms and ensure accurate data transfer
• Participate in film scheduling processes including data-entry, proofing, conflict checks, schedule letter creation, and notification protocols
• Review film and schedule information for key publications, press releases and online platforms to ensure accurate external representation
• Foster positive relationships with stakeholders by delivering excellent service to internal teams, programmers, and external partners
• Prepare materials for meetings and presentations as required
• Collect and maintain statistics on invited Festival films and create relevant reports
• Coordinate relevant Awards and juries, encompassing hospitality, itineraries, onsite hosting, event planning, and execution
• Collaborate with Brand and Marketing departments regarding portrait studio and other pertinent requests
• Collaborate with the Programme and Guest Services department concerning jury member travel and accommodation arrangements
• Serve as the primary liaison for juries leading up to and during the Festival
• Create and manage the jury members’ screening and event schedules including welcome and deliberation lunches/dinners
• Coordinate jury member invitations and attendance at official Festival events, such as Opening and Closing Night events and the Awards Ceremony & Reception
• Manage jury ticket requests and facilitate other Festival-related requests, when possible
• Assist with budget administration and financial reconciliation as required
• Provide support to the Festival Programming department on various projects and administrative tasks as required
• Compile a comprehensive post-mortem report
• Perform other assigned duties as needed
JOB GRADE & SALARY:
• Job Grade 1
• $23/hour
TARGET CONTRACT DATES:
• Monday, May 13, 2024 - Friday, September 27, 2024
WORK LOCATION:
• Office Location: 350 King Street West, Toronto, ON M5V 3X5
• Weekly in-office requirements:
• Minimum 2 days (May)
• Minimum 3 days (June to September)
• Festival Office Requirements: Full Time during Festival
MINIMUM REQUIREMENTS:
• 2 years of experience in business or arts administration
• Completion of a post-secondary degree or diploma
• Degree or diploma in Film Studies or related area considered an asset
• Familiarity with the film industry and international cinema
• Exceptional organizational and project management skills, coupled with meticulous attention to detail and effective prioritization capabilities
• Experience in handling large volumes of data or information accurately
• Strong research skills and a continuous awareness of industry trends
• Mature personal judgment, maintaining a high level of professionalism, diplomacy, and confidentiality
• Proactive approach and aptitude for coordinating projects
• Adaptability to working in deadline-driven, fast-paced, and high-pressure environments
• Excellent communication and interpersonal abilities
• Precise memory for names, positions, companies, and various situations
• Capability of managing difficult situations and interacting with people positively, employing a problem-solving approach
• Comfortable working both independently and as part of a team
• Understanding and dedication to delivering superior client service
• Previous experience in a festival environment considered an asset
• Advanced proficiency in computer usage, including familiarity with databases, CRMs, project management tools, Microsoft Office, and Google platforms (experience with Artifax is an asset)
• Additional language(s) proficiency is an asset
• Flexible with a willingness to work some evenings and weekends as required
• Required availability to work full regular and extended hours on weekends from July 20 to August 4, 2024, as well as for the entire duration of the Festival
