We are currently hiring for the position of:
ASSISTANT, INDUSTRY SALES & PROMOTIONS
Reporting to the Manager, Industry Sales, the assistant of Industry Sales and Promotions will be responsible for providing administrative support to the sales team while upholding excellent customer service for Industry delegates.
RESPONSIBILITIES:
• Assist in drafting pitches and proposals for various promotional opportunities in relation to sales prospects and inquiries
• Assist in creating and distributing material specification details
• Support the sale and coordination of event spaces and industry programming activations across various industry locations, including Rooftop, Talent Hub, Conference Centre, and TIFF Lightbox.
• Support coordinator with data entry into event management systems and with day to day administrative tasks related to existing contractual obligations with clients.
• Liaise with Industry Services team to fulfill all national agency, trade partner and screening pass requirements
• Request and deliver invoices related to promotional sales and process payments for booked screenings.
• Create and distribute comprehensive welcome packages, including specifications, deadlines, and service details.
• Assist in collecting content and materials from stakeholders for relevant industry programming, screenings and digital platforms.
• Proof submitted materials to ensure they meet set specifications
• Track and deliver creative artwork to trade partners
• Log Festival film sales
• Prepare materials for meeting including agendas, critical path and meeting minutes
• Attend and actively contribute to weekly team meetings, sharing updates and insights on tasks and portfolio management
• Distribute screening reports
• Support the industry centre build production team onsite through duration of the venue build
• Write a detailed Post Mortem
JOB GRADE & SALARY:
• Job Grade 1
• $20-23 per hour commensurate with experience.
TARGET CONTRACT DATES:
• July 14- September 14, 2025
WORK LOCATION:
• Office Location: 350 King Street West, Toronto, ON M5V 3X5
• Weekly in-office requirements:
• Minimum 2 days (November to May)
• Minimum 3 days (June to October)
• Festival Office Requirements: Full Time during Festival
MINIMUM REQUIREMENTS:
• Degree in arts management, administration or commerce considered an asset
• Minimum of 3 years experience working with staff and delegating responsibilities
• Minimum 5 years’ experience in Canadian and International Industries with ability to demonstrate
• Working knowledge of domestic and international distribution, sales activities, national promotional agency networks, funding practices, co-productions and international film festivals and markets
• Exceptional business writing skills with attention to detail, including but not limited e-marketing, social media messaging and proposals.
• Demonstrative ability to listen to client feedback and adapt strategies for communication accordingly.
• Ability to speak foreign language considered an asset
• Ability to think critically and anticipate issues or opportunities and proactively propose solutions to address them.
• Ability to work well under pressure and make quick but informed decisions
• Strong accounting and financial acumen
• Ability to deliver feedback and service with a high level of tact and diplomacy when working with clients.
• Demonstrative accounting and negotiation experience required
• Adaptable to a flexible work schedule including some evenings and weekends
• This position requires being in office on a regular basis.
