This is a Full Time Job
We are currently hiring for the position of:
FESTIVAL SERVICES ASSISTANT
Reporting to the Festival Services Coordinators, they will oversee staff scheduling and attendance for all of the Festival Services Team. Answer calls on staff hotline and assist in box office and venue troubleshooting; direct/escalate issues to appropriate manager; answer internal email. Participate in post-mortem note consolidation and Festival wrap-up.
RESPONSIBILITIES:
• Coordination of staff, administrative tracking including payroll, budget, and work back documentation, and day-to-day operations of the festival venues front of house, and ticketing teams.
• Scheduling and distribution of information to approximately 300 seasonal staff members.
• Assisting with training manuals, training presentations and execution of all training sessions.
• Responsible for keeping the Help Desk running smoothly throughout the Festival by answering phone calls and emails in a timely and professional manner.
• Creating and distributing administrative paperwork and supplies associated with the festival’s venue operations.
• Dispatching Logistics Team to venues for deliveries and pick-ups, both for Festival Services, the venue teams and other departments within TIFF as required.
• Other duties as assigned
RATE OF PAY:
• $22.00 /Hourly
TARGET CONTRACT DATES:
• July 31, 2023-September 22, 2023
MINIMUM REQUIREMENTS:
• Experience in event production, logistics coordination, and site operations is also an asset.
• Experience in scheduling, payroll, or human resources an asset
• Film festival, front of house, or special event experience & education an asset.
• Experience in Call Centre or Help Desk setting, with high volumes of calls and problem solving an asset.
• Post-Secondary Education
• Highly organized; excellent time management.
• Excellent communication skills and ability to work effectively in a fast-paced environment.
• Proficient in Microsoft Office/Google Workspace and web-based file sharing.
• Strong organizational capabilities; detail-oriented; able to multitask effectively.
• Proficient using spreadsheets and database systems.
• Excellent verbal, written, and interpersonal communication skills.
• Proficient in Microsoft Office and web-based file sharing.
• Ability to work both independently and in a team environment.
• Able to adapt to a flexible work schedule, including evenings, weekends, and holidays
• Must be able to attend all training sessions (Training session schedule TBC).
• Must be able to work part time from July 31st to August 25th, 2023
• Must be able to work full time from August 26th to September 22, 2023
