We are currently hiring for the position of:
COORDINATOR, FESTIVAL PROGRAMMING - PROGRAMME ADMINISTRATION
Reporting to the Manager, Programme Administration, the Coordinator, Festival Programming - Programme Administration provides administrative support to the Festival Programming team and Director of Programming, Festival & Cinematheque. This includes scheduling meetings, tracking films, and calendar management for the Director or Programming.
RESPONSIBILITIES:
• Coordinate the daily schedule of the Director of Programming, Festival & Cinematheque
• Manage emails and calls; prioritize and respond as required
• Support the Scheduling Coordinator, Festival Programming by inputting in-cinema preview screening information and comments into the database following established guidelines
• Track films for consideration and relevant action items; update the database and programming lists
• Support the Director of Programming with preparing film invitations
• Organize travel arrangements for the Director of Programming, including scheduling stakeholder meetings, creating daily schedules and itineraries
• Attend programming meetings; prepare materials and take notes as required
• Send out film and hospitality invitations for film programmers and film teams, as required
• Assist with preparing organizational programming presentations and briefing notes
• On-site support for Programming events (eg. filmmaker receptions) during the festival
• Manage the Festival schedule for the Director of Programming, including compiling daily schedules and itineraries
• Provide assistance to the Festival Programming department with projects and administrative tasks as required
• Compile a detailed post-mortem report
TARGET CONTRACT DATES:
• March 23rd, 2026 - September 25th, 2026
WORK LOCATION:
• Office Location: 350 King Street West, Toronto, ON M5V 3X5
• Weekly in-office requirements:
• Minimum 2 days (November to April)
• Minimum 3 days (May to October)
• up to 5 days a week in office from June through September
• Festival Office Requirements: Full Time during Festival
MINIMUM REQUIREMENTS:
• Previous film festival or large-scale event planning experience considered an asset
• Degree or diploma in Film Studies or a related field considered an asset
• Detail- and process-oriented with strong administrative and organizational skills
• Experience handling large volumes of data or information with a high degree of accuracy
• Strong written and verbal communication skills, with the ability to draft clear and professional correspondence
• Familiarity with Google Workspace; experience with Artifax considered an asset
• Ability to work, prioritize and respond well in deadline-oriented, fast-paced and high pressure environments
• Adaptability to a flexible work schedule, including some evenings and weekends to meet deadlines, particularly during the Festival period
