We are currently hiring for the position of:
COORDINATOR, ADVANCEMENT OPERATIONS
Reporting to the Manager, Advancement Operations, the Coordinator is responsible for ongoing data entry, gift administration and reporting, and coordination of data and records.
The Coordinator supports the Advancement Operations team by maintaining and processing revenue data, extracting and reporting data for multiple campaign initiatives, and liaising between back-office operations and front-facing staff.
RESPONSIBILITIES:
Shall include but not be limited to:
• Maintaining integrity of Advancement data in Ticketing and CRM systems (Archtics and Raiser’s Edge)
• Recording and processing daily account transactions including: building membership records, redemption of membership vouchers, and various requests from the membership or customer relations teams
• Building gift records in Raiser’s Edge for donations to Advancement revenue streams, including: online donations, third-party disbursements, invoice payments, and others
• Gathering missing information from members and donors when needed to support data integrity and/or operational requirements
• Regular auditing of intra- and cross-system data
• Providing support within Advancement Operations and across the wider Advancement department
• Support in the processing of 3-4 annual giving campaigns as well as monthly and one-off membership offers
• Troubleshooting and answering questions for the wider Advancement team on issues related to the Advancement CRMs and data, tax receipts, operational needs, and other deliverables
• Report Generation
• Produce ad-hoc lists as needed for department communications and campaign analysis
• Create and update revenue reports by extracting, cleaning, and analyzing data from Raiser’s Edge
• Tax receipt generation for TIFF donors
• Auditing and issuing tax receipts for eligible donations
• Awareness of TIFF best practices and CRA standards
• Compliance with required rules and guidelines
• AFP Donor Bill of Rights and AFP Code of Ethical Principles and Standards
• PCI (Payment Card Industry) regulations
• TIFF and HR policies and guidelines
JOB GRADE & SALARY:
• Job Grade 2
• $50,000
TARGET START DATE:
• November 18, 2024
WORK LOCATION:
• Office Location: 350 King Street West, Toronto, ON M5V 3X5
• Weekly in-office requirements:
• Minimum 2 days (November to May)
• Minimum 3 days (June to October)
• Festival Office Requirements: Full Time during Festival
MINIMUM REQUIREMENTS:
Education & Experience
• Direct experience using CRM software such as Raiser’s Edge, Tessitura, Salesforce, etc.
• Experience with ticketing software such as Archtics, Titan, etc.
• Direct experience with database data entry and Microsoft Excel
• Experience in the definition, documentation, and reporting of philanthropic or membership campaigns is an asset
• Previous experience in an administration or operations role, or a position that liaises with multiple departments, is an asset
• An understanding of non-profit organisations’ communication tools and responsibilities is an asset
