Production Coordinator (Experiential Division)
Description:
This role acts as the Department Coordinator for the Experiential Division of Tool of North America, directly supporting the President of Tool as well as the Managing Director, acting as a liaison between experiential producers and finance, and coordinating various aspects of the department. If you excel in interacting with and supporting Executives, are detailed oriented with data, curious about the financial side of production, and eager to learn the inner workings of experiential productions, then this role is made for you. The Experiential Production Coordinator has incredible visibility into the inner workings of a world-class production company and is provided the opportunity to advance up the ranks, over time, into Experiential Producer roles.
Responsibilities:
• Work with producers to communicate and coordinate financial aspects of experiential productions; job start-up paperwork, invoicing clients promptly, paying vendors on time, and wrapping production actuals
• Ensure all documents are properly completed in order to invoice and pay vendors on time.
• Work with freelance talent hired by the department to onboard them into our processes
• Serve as a liaison between external freelance production teams and internal Tool team members. Managing and implementing Tool policies to production teams for the life cycle of projects.
• Support Experiential team to maintain organized file management on Google Drive
• Assist producers with wrapped jobs in a complete and timely manner
• Assist Executive in coordinating 3-4 weekly departmental meetings; Resource meeting, Staff Meeting, Sales Meetings
• Help maintain calendars and schedule for both Executives - President and Managing Director of Experience. This includes scheduling meetings, calls and invites.
• Maintain Tool's database for incoming pitches, budgets and other production details through Salesforce.
• Book travel for Executives and Production Teams.
• Create Sales Reports (in Salesforce) and analyze data for review on a monthly, quarterly and annual basis
Ideal Strengths:
• Proactive self-starter who is capable of working in a remote environment
• Very detail-oriented with exceptional organizational skills
• Savvy with common software: Slack, Google Suite, Google Sheets; additional programs which are nice to have/will be learned on the job Harvest, Forecast, Caps+ and Salesforce
• Great at multi-tasking
• Familiarity with production. Previous production company experience a plus
• Familiarity with basic accounting processes
• Be able to receive instructions from multiple people
